The attached is a technical guide for mapping lab product codes as alternate IDs for hospital product codes, and it should only be used by IT support/admin personnel.

 Hospital product code mapping.docx

  • Identify the code in the labs module that is being incorrectly mapped on the hospital side. In the attached example, a product code of 40.1 is being sent from the labs. In the hospital, the test in question is associated with a different code.

  • Identify the appropriate product code that the test should be associated with in the hospital module. In our example, the same test is a product code of 9.118.

  • In the hospital module go to the Product Setup Screen, and search for the product code that the test should be associated with for the hospital. (see image below)

  • On the Product Setup Screen for the specific product, scroll down to the definition setup sections at the bottom of the screen, and locate the “Alternate ID Definitions” section. (see image below)

  • In the “Alternate ID Definitions” section, click “Add Alternate ID,” and enter the product code as it appears when coming from the labs module. Note that the product code should be entered with both the line number and sequence number separated by a “.” Or a “-“ (see image below for details on our example and the proper format for entering the product code)

  •  When this alternate ID has been entered, the hospital module in VetView will now consider the alternate ID when the code comes from the labs module and will replace the lab product code with the associated hospital product code. In the above example, anytime a product code for 40.1 comes back from the lab, VetView will recognize that code as an alternate ID for 9.118 and will appropriately place 9.118 on the bill instead of 40.1.
