Hospital Patient Privileges

The patient record has a large number of privileges.  In order to make navigation on this page easier, these privileges are broken out into workflows and functional areas.

The order of privileges on this page may not match the order of privileges on the Role Management screen as they have been split into these functional areas.  Use CTRL+F to find the corresponding privileges on Role Management

Access Patient Record is the root level privilege for most other privileges on this page.  Without any other privileges, this access privilege grants view only access to the patient records.

All other privileges below can be granted to users based on your hospital's policies regarding billing, prescriptions, and editing of medical records.

Patient Communications Privileges

Patient Episode Privileges

Update Episode LocationAllows the user to indicate the current location of the patient on the episode.  This location can change during the course of the episode.Patient Record
Request TransferControls the ability to transfer the episode from one unit to another.  Depending on hospital settings, a transfer may also require a change in attending DVM.Patient Record
Open EpisodesAllows the user to transition an episode from Pre-Admission status to Open status, indicating that the patient has arrived and the visit has begun.   This process is called Check-In in VetView.Patient Record
Admit PatientsAllows the user to transition an episode from Open status to Admit status, changing the patient from an outpatient to an inpatient.  Depending on the unit episode settings, this may also change the underlying Episode Type and change the medical record requirements for the episode.Patient Record
Discharge PatientsAllows the user to Discharge a patient, transitioning the episode from Open or Admit to Discharged.  This process is intended to indicate that the patient has left the facility with its owner.  The episode may still have work to do before it can be closed, such as verifying documents or adding MARs, but the patient is no longer in a location. Patient Record
Reopen EpisodesControls the ability to change an episode from Closed back to Open.  This may need to be reserved for supervisory roles.  The patient will need to be discharged again.Patient Record
Close EpisodesControls the ability to Close an episode from Discharged status.  This indicates that the episode's documentation is complete and no further work is needed.   Certain changes can no longer be made on an episode once it has been close.Patient Record
Undo DischargeControls the ability to reverse a Discharge.  The episode will revert back to Open status.  (For example, if a patient becomes sick in the parking lot and the owner brings it back in immediately.)  The episode will continue as before until the patient is Discharged again.Patient Record
Readmit PatientsControls the ability to Admit a patient who was previously Discharged.  This may need to be reserved for supervisory roles.Patient Record
Remove Episode HoldAllows the user to remove a Hold that was placed on an episode (usually due to accounting reasons.)  Admission Screen
Undo Episode No ShowAllows the user to change an episode from No Show back to Pre-Admission, to complete the check-in process.Admission Screen
Delete New EpisodesA supervisor privilege that allows a user to delete episodes in New status that were never checked in.  Useful for cleaning up accidental duplicates.Patient Record
Admin Delete EpisodeAn admin privilege that allows the user to delete any episode in any status.  This may need to be reserved for higher level admin roles.  Note: episodes that are merged will automatically delete the second episode.Patient Record
Merge EpisodeAn admin privilege that allows the user to combine two episodes together.  All personnel, documentation, and charges will be combined together.  The episode will need to be manually reviewed to clean up any duplicate documentation.  The second instance of the episode will be deleted.  Use this to correct a mistake when a patient was checked in by two users on two different episodes by mistake.Patient Record
Edit Episode HeaderAn admin privilege to change the core data of the episode, such as the check-in or discharge dates, or the underlying episode unit and type.Patient Record
Approve TransfersAuthorizes the user the right to approve a unit transfer on the episode.  This may need to be reserved for clinical supervisors.Patient Record
Edit Episode PersonnelAllows the user to make changes to the existing personnel on an episode (delete users, change attending, etc.)Patient Record
Edit Admitting DVM/UnitAllows the user to modifying the admitting DVM and admitting unit on the episode, which were set during the Pre-Admission process.Patient Record

Documents, Requests, and Medical Record Groups

Add Episode DocumentsControls the ability to add a document to an episode.  Anyone with this privilege can add documents to an episode, regardless whether they are a member of the unit for the document or not.Patient Record
Reopen Episode DocumentsAllows the user to reopen an episode document that was previously marked as verified or completed.   The document will need to be reviewed again after it is changed.Patient Record
Add Episode RequestControls the ability to add a request to the episode.  Anyone with this privilege can submit a request, but the user must be a member of the request unit to perform any further actions on the request once it has been submitted.Patient Record
Add Episode MedicationControls access to adding the Medication record group to an episode, and items to the Medication group.  This includes any prescription and OTC medication, both administered during the course of the visit, that does not need to be routed through the pharmacy, such as vaccines, antiparasitics, shampoos, etc.   This also allows the user to add the medications reported by a client or the RDVM.Patient Record
Add Episode PersonnelAllows the user to add personnel to an episode and designate their role.Patient Record
Edit Episode MedicationAllows the user to modify medication on the patient record once it has been added.Patient Record
Edit/Print CDM LabelAllows the user to make changes to the prescription label for a CDM draw, and print it.Patient Record
Edit Episode Document Created TimeAn admin privilege that allows the user to adjust the time stamp on an Episode Document.  May be useful for medical records as part of patient record and episode review.Patient Record
Add/Edit Global Hospital MacroAllows the user to create and save a macro under the Global setting, indicating it is available for all users.  This can be useful for clinical staff or administrators in ensuring that each student and staff member is using the identical macro template for a document.Patient Record

SOAPs, TPRs, and Diagnosis

Add Episode ProblemsAllows the user to add an episode Problem.  This begins the SOAP process in VetView.Patient Record
Add Episode TPRAllows the user to add the TPR medical record group to an episode and begin adding in TPR data. This can also be automatically generated via certain Documents that use the integrated TPR object.Patient Record
Create/Edit SOAPsTop level privilege for SOAPs on the patient record.  This option becomes available when at least one Problem has been added to the episode, and the user has this privilege. Patient Record

Edit RxThis privilege allows a clinical supervisor to make changes to a prescription prior to approval.Patient Record
Prescription ApproverAllows the user to Approve a prescription.  Depending on state law, this user may need to have an active state DVM license.Patient Record
Prescription Approver Non DVMAllows the user to Approve a prescription, even without an active state DVM license, under another form of authority (e.g. state licensed vet tech/nurse, pharmacist, PhD research faculty member, etc.)Patient Record
Prescription RenewalAllows the user to copy an existing prescription to create a new one when the refills have run out.  It will need to be approved again.Patient Record
Prescription RefillAllows the user to Refill a prescription.  The prescription will not need to be approved again as long as there are still refills remaining.Patient Record
Add RxAllows the user to create a Prescription Request from the patient record and other places within VetView (e.g. the patient list.)  Prescriptions will need to be approved before they are sent to a Pharmacy to be filled, or sent to the CDM for draws.  For prescriptions issued from a Dispensary pharmacy, the prescription can be requested, approved, and issued in a single step by a user with all the associated privileges.Patient Record, Patient List
Fill Outside PrescriptionGrants access to the Fill Outside Rx screen to process a fill from a pharmacy located outside of the hospital.  User must have create rights for patients, episodes, and opening bills to perform this action.   A bill-only, non-visit episode will be created for this prescription fill. Fill Outside Rx Screen
Transfer PrescriptionAn admin level privilege to allow a pharmacist to change the pharmacy under which a prescription will be filled.Prescription Fill Screen
Prescription Cancel RefillsAllows the user to cancel refills on a prescription.  This action can be performed from several screens. Intended for clinical supervisors and pharmacists.Patient Record, Prescription Search
Cancel PrescriptionAllows the user to cancel a prescription from the patient record or the Prescription Search screen, when it is no longer needed. Patient Record, Prescription Search
View/Edit Reserved PrescriptionThis privilege allows a user to modify a prescription In Process that has been reserved by another pharmacy Prescription Fill Screen
Hold PrescriptionAllows the user to place a prescription on Hold.  Intended for pharmacists and lead pharmacy techs.Prescription Fill Screen
Pharmacy Fill QueueGrants the user access to the Pharmacy Fill Queue and Pharmacy Fill screens.  Not required for dispensary workflows, which can be done entirely on the patient record.Pharmacy Fill Queue
Prescription FillAllows the user the ability to view the prescription fill, reserved the prescription, and process it.  User must also have the right to do so granted with the Pharmacy, based on their linked pharmacy role.Pharmacy Fill Queue, Fill Screen
Access Prescription Dosage CalculatorThis privilege allows a user to see the Dosage Calculator on the Prescription Request, even when it is otherwise turned off at the pharmacy level.  Intended for clinical supervisors.

Patient Details

Edit Patient DetailsTop level privilege for the Patient Details tab.  Allows the user to make changes.  Without this privilege, the tab is View Only.Patient Record
Merge PatientsAdmin level privilege to allow medical records to merge patients together.  This feature should be used when a duplicate patient was created by mistake.  You must merge patients and clients before merging episodes!Patient Record
Create Patient AlertsAllows the user to add new patient alerts to a patient record.  Patient Alerts are permanent for the patient, unlike Episode alerts which expire when the episode has been closed.Patient Record
Edit Case NumberAllows the user to modify the case number on a patient.  Patient Record
Add Patient TagsAllows the user to add new patient tags (e.g. rabies tags, registration tags, etc) to the patient record.  Without this privilege, the Tags tab is view only.  Certain tags can be added automatically without this privilege by adding them to a Document on the episode.  The tag will automatically import to this tab when it is set up correctly, even without the privilege.  Patient Record
Edit Patient TagsAllows the user to modify a patient tag once it has been added.Patient Record
