This allows you to build out a spreadsheet of usernames and other attributes in a spreadsheet, and load them into VetView. The Create Employee Records tool will automatically create a new user account for the users.

This feature allows you to import an Excel 97 format (XLS) spreadsheet with columns that match the following attributes:

  • Username (Required)

  • Title

  • First Name, Middle Name (or initial), Last Name

  • Display Name

  • Email Address

  • Tag (e.g. Class of 2024)

Click on the Upload button and from your computer’s local folder section, choose the file. The system will recognize Excel 97 and ask which sheet name from the file you want to use (in the event that your Excel file has multiple pages on the spreadsheet.)

Select the Excel sheet and click on the Save button. The system will then load the data and attempt to load it into the respective columns.

(For best results, the columns in Excel should match the columns in VetView.)

Edit Employee

Once loaded, you can make any edits to data that did not load correctly before you create the records.

Select a row and click on the Edit button to open the edit window.

The Add/Edit Mass Load Employee Account window will open, with the employee’s data pre-loaded into the fields. Make the changes you need to the information, and click on the Save button.

Note

Usernames must be unique in VetView. If a username already exists, then the employee account will display as a blue link at this point. Edit the username to create a new unique account instead.

Add Employee Manually

To add an employee manually (if they were not included in your spreadsheet, for example) click on the Add button from the menu.

This will load a blank Add/Edit Mass Load Employee Account screen window. You can enter in the employee’s information and click on the Save button, and they will be added to the list.

Delete Employee (From List)

To delete an employee from the list for any reason, you can select the row and click on the Delete button.

Note that if a user account already exists for the employee, then clicking on the Create Employee Records button will not apply any changes to that account - the feature will only apply the minimal changes to a NEW account.

Deleting the account from this screen will not remove the account from VetView. It will only remove it from this list. In this example, the account “RESIDENTTEST” already exists, so it can be safely deleted from the list.

Create Employee Records

Once you are satisfied with the user data, you can click on the Create Employee Records button to open the Create Employee Accounts window.

Select the User Details information - the Position Type (full time, part time, etc.), the Classification (student, orderly, clerical, as you had defined on the Classification tab), and the Default Home Page.

Assign a starter set of privileges for each user account, such as a pre-defined “Everyone” role that grants minimum application access and a few key view only screens

Choose the hospital Employee Types, and the Lab Assignments and elevated roles for that lab. (For Hospitals, additional privileges may require further unit assignments, but those will need to be done on the user accounts at the unit level or the user account level after the accounts are made.)

After you are finished entering in the data, click on Create User Accounts. The system will make the VetView accounts in the background, apply the settings, and change the Username column to a blue link to show that the account is in the system.

Use CTRL+Click on the username to open each account in a new tab fort additional work on the account, if desired.

Info

The default authentication type will be your system authentication (LDAP, CAS, etc.) If this will be a local account instead, you will need to manually change it to a local account, and either set a temporary password or set the password to be expired for the user to reset with an email link from VetView.

Delete All (Clear Screen)

After the accounts have been created, you can clear out the list from this tab safely. The User Accounts will remain in the system, but the page will be clean for the next time you need to create a batch of accounts.
