Patient Record Epic for Patient Record and Prescription Requests is LIMS-6728, contains almost 30 tickets as of December 2017

The patient record consists of Episodes, which are individual hospital visits or billing incidents for the patient, and the component parts of these episodes. We break the episodes down into discrete "Medical Record Groups" to keep related documents and parts together.
For Clinicians, all workflows related to prescriptions begin at the patient level. All prescriptions must be tied to a patient (although refills and prescriptions from doctors outside of the hospital have abbreviated workflow options through the Point of Sales Screen.)

Medication Record Group

The Medication Record Group is the portion of the VetView patient record that records all medications administered to the patient during the episode. It also provides a place to record any medication the patient is currently on from external sources. (e.g. any information faxed over from the RDVM, verbal confirmation from the client, etc.) This allows you to include a complete medical history for the patient on their prescription chart.
VetView always includes three quick links on the medication tab: A link to write a new prescription (opens the Prescription Request Form), a link to add a prior medication, and a link to add an Over the Counter Sale item. A fourth quick link, Add Usage / Waste, is only available if there is a usage/waste log entry already linked to the episode. See Drug Disposal Form.

Add Medication

This section should include prescriptions written and dispensed prior to the patient visiting your hospital, vaccines administered (for the vaccine report), and for treatments of specific parasites in the past, any anthelmintics given. "Other" is also an option if the client or RDVM included details on nonprescription items, such as shampoos. Vaccines and anthelmintics added as part of the current episode should be tracked here as well, as this is what generates the Vaccine report.
Note that vaccines and anthelmintics administered during the current episode will be automatically added when either; prescribed, dispensed from a CDM, or billed.

Unlike the Medication entry, this is intended to log nonprescription items administered to the patient as part of the current episode. Items entered here will be added to the bill and removed from inventory. You can also print an item label. Once added, the products will be listed in a collapsed format and can be viewed in full on the Prescriptions tab.

This tab displays a list of all prescriptions written for this patient across all episodes. It is from this screen that a clinician may review previous medications, request refills, and request new prescriptions for the patient that was not checked in (e.g. a "refill" of a Scheduled II drug via a Bill Only Episode.)

Once a request has been set to the status of Approved, In Process, Edit (at the Pharmacy Fill Queue), or Hold, it can no longer be edited. Changes the selected prescriptions from the status of Requested (meaning your student has submitted it to a clinician for approval) to Approved. Once Approved, a prescription can no longer be edited on the clinician side and has been passed to the Pharmacy to be filled. Any changes to the prescription once it is approved will need to be called in to your pharmacy to edit on their side. Only approve prescriptions when you are certain everything is correct from your students.

Context Menu

The context menu opens up on right click of any part of the medication tab's prescription section. It provides a list of all the available functions for a prescription. Not all functions are available on all prescriptions; it changes depending on the prescription's status and the pharmacy setup options. Certain functions may also be wrapped around special privileges (e.g. you can set Cancel Rx as a clinician privilege and exclude students, if desired.)

Vaccines Section


This section is intended to be used to build a vaccine record for the patient. Vaccines added to the patient record during an episode will appear here, and you can also manually add any vaccines for which the client has brought proof.
Vaccines entered here should print out on the Print Vaccine Record in chronological order.

Prescriptions Section

This sub section displays all past and current Prescriptions for the patient. A right click menu is available that displays all the options available for that prescription – the ability to refill or complete a partial fill, the ability to edit an unapproved or pending Rx, and the ability to copy an old expired Rx and start a new prescription using the old information.
An info dot appears next to any prescription that has a comment that is too long to display in the comments column, so that the entire comment is visible.

Prescription Request FormNCSU Requirement: Prescription draft terms not populating, query rewrite is needed (LIMS-6418)

This is the primary method of requesting a new prescription medication for a patient. The layout of this form is controlled by the pharmacy selected. On this form, a user may select a drug either by sequence number or by looking up the drug name, specify the number of refills (if not a controlled substance), detail the quantity, dosage, and method of administration, and then finally submit the prescription for review by a supervisor or clinician with approval rights. Prescriptions that were submitted for approval will appear on the Prescription Widget on the home page. Additional options that may be mandatory depending on your hospital setup: Patient's weight, NCSU Requirement: Request to add a flag to indicate that weight is approximate (LIMS-4770) On the places to enter the patient weight, e.g. at Admission or on Patient Details, this flag can be checked. At hospital setup, the admins can turn on a flag that will prevent clinicians from approving new scripts while the approximate weight flag is on. Weight can be updated from this page and the warning will appear to let users know it can't be processed as long as the weight is approximate. Updating the weight turns the approximate flag off automatically.expiration date of the prescriptionNCSU Requirement: Capture the date and time of the request on prescriptions. Below is the standard Pharmacy view of the Prescription Request Form. For the view of a dispensary, please see Dispensary View.

Pharmacy Selection

At the top of the Prescription Request form is the field to select the correct pharmacy. The type of pharmacy controls the display of the rest of the form, so this must be selected prior to filling out the rest of the prescription. Dispensaries have a longer workflow, but do not need further processing at the pharmacy queue – the script is filled at the patient record.

The three buttons at the bottom of the form are variations on the standard Okay and Cancel we use on other windows, with some specific functions tied to the processes.

"Reset" will clear out all selections made on the form, with the exception of the prescribing DVM. This allows the user to clear out a prescription entirely if the wrong drug was selected, or if there is a decision to choose a different product for the patient.
"Add Script" will add the prescription card to the right of the screen, queuing it up locally for a clinician to approve them in a batch. This creates the Prescription Request and puts it in the status of Requested. This also generates any warnings or prompts associated with the product (see Pop Up Warnings for this Drug ). Prescriptions may still be edited before they are filled, by clicking on the pencil icon above the prescription cards on the right.
"Done/Close" performs the same functions as Add Script, but assumes you have finished entering prescriptions and will close the window instead of clearing the fields.

Drug Info

The Drug Info section is where you select the product to be filled. Only product types associated with your pharmacy are available to prescribe. LIMS-6783 – Restrict the products available in request or edit to only be pharmacy products
If the drug that you are prescribing is one that your pharmacy does not carry, you can check the "Drug Not Listed" box to enter in a drug name by free form. Depending on your hospital's settings, this may also force you to check the External Fill box. External Fill is available if your client has indicated they wish to have the prescription filled at an external pharmacy, regardless of whether you stock the drug locally or not. This may be used if the client has traveled a long way and cannot have the prescription refilled at the school, or if there are pricing concerns and they would like to shop around. It also enables the ability to print the prescription after it is approved without going to the Pharmacy Queue.
The Info Dot will display the drug info of the generic associated with the product you have selected, if that information has been entered into the product setup

External prescriptions will pop up a PDF to print the prescription as soon as it is Approved by a DVM. LIMS-6950, External Fill PDF isn't giving the option to choose anything but the default system report – This is a bug, which will be resolved in version 1.7

Instructions and Draft Terms

The second instructions field is intended for the client. For drugs with a pre defined set of Draft Instructions, it can quickly be altered and then drafted to provide the most common instructions. The Instructions field here will also translate any shorthand as defined in Pharmacy Quick Texts, so bid will come out as "TWICE A DAY" if that is what you have defined under the texts. See Draft Terms Setup and Prescription Quick Texts Setup for more details on these.

Comments added onto the Prescription Request form will be saved as "Request Comments" for the pharmacy to view while filling the request. The comments will also be stored permanently in the archives of the prescription for viewing during audits.

Use this field to give the pharmacy any specific instructions about the prescription that are not part of the instructions intended for the client or legally required to be on the prescription label. For example, if the client has requested a specific flavor for a compound, or if the client has some special need for labeling or bottling requirements (childproof caps, different sized bottles, etc.)

Pending Flag KSU Requirement: Pending Prescription status, LIMS-5595 – ON HOLD, will need further discussion as this may break the workflow

The pending flag is an optional feature that may be turned on at the pharmacy level.
If the pending flag is not turned on, this section will not be available on the prescription request.
The pending flag allows the user to set a prescription as "pending" with a pending expiration date. A pending prescription is available to view on the patient's record, but is not visible on the pharmacy queue. The prescription is officially in the requested or approved status in the background, but the pending flag signals that the requested prescription is not yet ready to be sent to the pharmacy – for example, it is waiting on additional test results or a surgery outcome first. The user must set a pending expiration date, which will default to the number of days out based on the settings of its drug class, but can be manually adjusted to a lower number of days if desired. If the drug is not a controlled substance, it will default to the pharmacy's default expiration date.

If the prescription is in pending status at the end of the day of expiration, the status will automatically switch to cancelled.
Requested and Approved prescriptions with the Pending flag should still appear on the Pharmacy Widgets. Pending prescriptions may be edited from the widget or the patient record.
If the clinician removes the Pending flag, the prescription changes statuses to Requested or to Approved, and then the prescription will now appear on the pharmacy queue as normal.
This functionality prevents unapproved, unfilled prescriptions from remaining in the Requested status for long periods of time when they will not be

Creates a Prescription Request, in the status of Requested, and performs any checks on the product level that might create a pop up warning. After the final OK is given, the window will close. If a clinician clicks on the Edit button from their Prescription widgets or from the patient record, then the window will open back up in this state.

Warnings for inventory levels, for patient weight restrictions, or for custom instructions from your pharmacy will appear after clicking on Add Script or Done / Close. These warnings can be acknowledged and ignored, or you may cancel out and select a different product. See Pop Up Warnings for this Drug for more details.
Weight Restrictions
If the product has a weight recommendation, and the patient's weight falls outside of the range, this warning will appear. For example, you have selected a product for a dog that weighs between 20-40 lbs, but the patient weight is 75 lbs.
Inventory Restrictions
The Add Script button will perform a brief inventory check if the product is set to include an inventory warning. If the product's inventory is back ordered, or below a certain threshold, this warning will appear.

Custom Prompt
If the pharmacy has some specific instructions for this product, such as a warning to allow for extra time for a compounded item, this warning will appear last.
After all warnings have appeared on the screen, the prescription will go to Requested status as normal.

Requested Script Cards and Approval ProcessLIMS-6922 – Change behavior of the script cards. We are removing the edit button, and having them load on click instead.


After clicking on "Add Script" the prescriptions will appear as "cards" on the right side of the screen. Click on a card to view the prescription again. Click on the info dot for a preview of the details without reopening the prescription. Click on the red X to cancel the prescription. These cards are in the Requested status until they are approved.
If a student is the one filling out the prescription, they have the option to send an approval notice to their supervising clinician. This notice is sent through VetView mail, and will trigger an email to the person listed as the Prescribing DVM if their user profile is set up to receive notices in email. A message will appear once the notice is sent. LIMS-6816 Update Approval Notice Prescription Message. Right now it appears as an error in red, even though it is a success message.
When the Allow Resubmit of Rejected Scripts is turned on, clinicians will have the ability to reject the prescription with a comment, and the original requestor can re-submit a correct version for approval. This status is controlled at the pharmacy level.

Dispensary View

The dispensary view is a combination workflow intended to be used in clinics or other independent units of the hospital for which the main pharmacy is not necessary. For example, field services units can have their own "pharmacy" in order to track the drugs dispensed as part of a group visit, or a training clinic for small animals can have their own small pharmacy for flea treatments, Heartguard, and vaccines.
If a pharmacy is listed as a dispensary, the Prescription Request Form will change to include the Inventory and Labeling portions of the Pharmacy Fill Screen. Final approval of the prescription can be handled in a single step for any DVM who is listed as a Pharmacy issuer. Be sure to exclude any product types that can only be handled at your main pharmacy, such as Compounds, from being available from the Dispensary pharmacies in Main Pharmacy Settings.

Daily Fill StatusMSU Requirement LIMS-5150, Epic Partial Fills and Daily Fills, LIMS-6703

Daily Fill status is intended to be used for inpatients who will have their medication prepared by the pharmacy, then taken to ICU or to the individual units where patients are being cared for. Daily Fills will continue being renewed once a day until they are cancelled. Billing will be processed as part of the nightly API for these patients, as long as they have an open bill and have not yet been discharged.
Requesting Daily Fills
Daily refills are intended to be used by clinicians for inpatients who are staying overnight, and need to have medicine distributed every 24 hours as long as they are checked into the hospital. Daily fill is only available on a prescription if the option is turned on in both the selected Pharmacy and the Drug Class for the medication. Without that, the status is grayed out and unavailable.

Daily refills have prescription status of Daily and a refill status of Daily on the patient record, and will automatically renew every 24 hours until the patient has been discharged. Daily fills are intended to be processed by a pharmacy technician handling the morning fills for inpatients, or by overnight technicians who retrieve the medication from a CDM.
Daily prescriptions cannot be renewed from the patient record. If the patient is going home, the prescription will need to be changed back to a standard prescription using the Send Remaining Home option. The Daily refill will automatically cancel once the patient's episode is marked as Discharged or if the option End Date has pasted.

Daily Fills are split into two sections – Approved prescriptions with a Start Date or Fill Date of today, and Approved prescriptions with a Start Date or a Fill Date of tomorrow. Prescriptions with today's date should be filled using the normal fill process, but prescriptions with a Fill Date of tomorrow are still pending.

"Print Daily Fills" generates a report that is a list of "Daily Fill Today" prescriptions that were auto filled by the API the previous night that can be printed as a PDF. Like all VetView reports, you can customize this report to your preferred appearance. (Checklist, spreadsheet, etc.) See Pharmacy API Setup (Daily Fills) for more details on how to set up the jobs to run nightly. This is list is the "snapshot" and also includes any new daily fills that were added with a start date of today, but not yet filled today. The fill status (approved vs filled) and the lot and expiration number as pulled from the API overnight for filled products
A second report is available called "Approved Fills for Tomorrow" that is a preview of all the daily fills that are scheduled to be run by the API overnight. This list contains the same information as the "Daily Fills Today" report, but does not include any of the prescriptions that were already filled today. The lot and expiration information will need to be verified the next day to confirm the accuracy of the information from the API.NCSU discussion on 1/26/2018 – Note that the information on this report will not be fixed, unlike the information on the Daily Fills Today.
"Print Daily Fill Labels" will do a bulk label print of any labels for "Daily Fill Today" prescriptions that were filled overnight. This will use the standard report label, but generate a sequential PDF that can be printed out all at once.

The Prescription Fill Form, displayed on the previous page due to size, is a long form that allows a pharmacy technician to view the full request on the prescription, select the correct inventory to fill the request, apply the appropriate labeling information, add comments, and obtain a formal sign-off from a pharmacist. Each part of the Prescription Fill page is broken down below.

Prescription Fill Functions

The prescription fill page header contains the primary actions that a user can take on a prescription. Each action is described in detail in the following sections.

Clicking on "Start Fill" will set the prescription to In Process, mark the prescription as Reserved by the current user UGA request, LIMS-5644, prevent two users from filling the same script by accident(so that no other user can click Start Fill), and allow the current user to begin the fill process for the prescription itself. The Edit button becomes available, as does the Unreserve button.
If the technician clicks on the Back to Search button, the prescription reservation is not lost and the prescription will remain In Process until it is filled, cancelled, rejected, or placed on hold, or the Unreserve button is clicked. This ensures that another technician will not accidentally start filling the same prescription.

Rejecting or Canceling a Prescription

To reject a prescription, click the Reject button. A small window will open asking for confirmation and giving the opportunity to add a comment.
The dialogue box is identical for cancelling a prescription.
For both Reject and Cancel, the note is permanently appended to the prescription and the clinicians and students may read the reason for rejection or cancellation on the patient record as well as on the internal mail they receive. (Rejected prescriptions are intended for errors that must be corrected and cannot be edited by the pharmacy, such as errors on the chosen bill party, whereas cancelled prescriptions are intended for post approval clinician requests to stop the prescription. Your school's individual workflow may vary.)
If Allow re-submit of Rejected scripts is turned on at the pharmacy level, this rejected prescription will be returned to an editable form for the original requestor to make corrections. It will need to be re-submitted for approval again before it hits the pharmacy queue. When this option is enabled, a pharmacist must use the Cancel status to indicate that the script cannot be resubmitted with corrections.

Transferring a prescription

Clicking on Transfer Prescription will bring up a small dialogue box to set the parameters of the transfer. You can transfer to an external pharmacy, which will change the Rx Request to "External" and open up the printer dialogue to reprint the prescription, or you can transfer it to another internal pharmacy. Internal pharmacy requests will mark this prescription as Cancelled, and create a new prescription under the Rx # line of the chosen pharmacy, instead.


For both types of transfer, a second dialogue box will open, asking you to confirm the transfer. The exact wording will change depending on whether it is internal or external.
Prescriptions can be transferred at any time up until the point of fill, if the technician processing the prescription did not catch it. LIMS-6095 Transfer prescriptions in review status, UGA Requirement

Putting a Prescription on Hold

Hold status is the general status to set a prescription to if there are outstanding questions regarding the prescription. If the technician realizes that the wrong product was selected, or the pharmacists has concerns about the dosing, the prescription may be placed on hold to prevent further processing while you consult with the clinicians. Once the issue is resolved, the prescription can be removed from Hold. The Hold comment will be permanently appended to the prescription.

Editing a PrescriptionNCSU Requirement: Restrict list in Prescription Edit to be Pharmacy Only Items (LIMS-6783)

If you need to make a change to a different formulation of the product, or even make a change to a completely different drug, users with the privilege to do so can click on Edit at the top of a prescription before completing the fill

Clicking on the Edit screen opens up the Edit view of the prescription. Patient and client demographic information cannot be changed, only the drug, instructions, and quantity /refill information. Quantities of controlled substances may only be reduced to a lower amount. UMON Requirement: LIMS5946, Block quantity increase during a prescription fill of a controlled substance. UMON requirement(In the event that only a weaker version of a controlled substance is available, the technician may Reject the prescription and indicate this as the reason in the Rejection comment, letting the clinician know that they will need to prescribe the weaker version in a higher quantity.) Non controlled substances may be increased without restriction. Note that the quantity of any prescription may be reduced at the time of fill, generating a partial fill if the client wishes to receive the rest at a later time. See Partial Fills .
On Save, the quantity selected in the prescription will be copied down to the label information, except for compounds.UGA Request LIMS-4311, request to have total quantity on label be empty if the drug is requested is in a compound. (Qty will be manually filled.)

Unreserving a Prescription

If a technician begins working on a prescription, but for any reason must stop working on it and pass the work to a colleague, they may unreserve the prescription request.
Note on Prescription Reservation: Prescriptions are reserved to prevent two technicians from working on the same prescription at the same time. Once a prescription is reserved by a user, another user cannot modify the prescription request or the prescription fill unless it is unreserved again.
The reservation is automatically set once the user clicks on Start Fill. If two users have opened a prescription and one clicks on Start Fill, if the other also clicks on Start Fill they will get an error that lets them know the prescription has been reserved by another user.

Filling a Prescription

The process for filling a prescription in VetView involves collecting and counting the product from inventory and entering the inventory information, assigning an Rx # based on the next sequence number in the pharmacy, and preparing the information for the prescription as it will appear on the label. This includes adding in any drug sheets / data cards and confirming the auxiliary labels that will be added.
At any time, a technician may save the prescription and exit out, for example if a higher priority prescription comes through that needs immediate attention. They can open and resume work on the prescription at any time from the Pharmacy Fill Queue.
Once the prescription has been prepared, the technician can enter in their user name and submit it for review.

Billing and Inventory information

The first thing that the technician will do after verifying that the prescription is accurate and editing any information on the prescription itself will be to find the product, and enter the necessary inventory information into the prescription. For compounded medications, this may involve multiple products, so more than one product can be added and billed for in the preparation of the compound.

Depending on your pharmacy's workflow, you can assign the Rx # during the fill process, or wait until just before approval. Every prescription fill must have a unique, identifiable number. The prefix will be assigned automatically.

Partial FillsLIMS-5984, Partial Fills – Requirement for many schools.

Partial fills must be enabled at the Pharmacy level for this feature to be available. Please see Main Pharmacy Settings for where to turn this feature on.
If the pharmacy is low on stock or the client is unwilling or unable to purchase the entire prescription at once, the prescription may be flagged as a partial fill. VetView will allow the client to complete the remainder of this fill at a later time. The completion of a partial fill is treated as a refill, per DEA rules, and tracked as such within the system. Quantity on the label will be considered the quantity issued vs the quantity prescribed, not the quantity billed.
Partial fill will track the quantity filled against the total quantity prescribed, and the remainder can be filled as a partial refill. This will not decrement the prescription's refill counter; a partial fill leaves the same number of refills available as before.
Clicking the Partial Fill checkbox will cause the word "of" and a small box containing the original prescribed quantity that cannot be edited. This is how it will appear on the label as well.
See Refill and Complete Partial Fill in the patient record section for details on completing a partial fill.
A prescription request that is sent in as "Complete Partial Fill" will have restrictions imposed on the total quantities based on the remaining amount available. The quantity for all partial fills cannot exceed the total quantity prescribed, and the total quantity for all fills and partial fills cannot exceed the original prescribed quantity multiplied by refills. These restrictions are calculated automatically by VetView to prevent abuse and cannot be circumvented.
Complex Partial Fills: Partial fills can be issued and re-issued up until the maximum quantity of the original prescription. The label will change to accommodate this. Please ensure your label report conforms with your state or province laws.

Any pre-assigned stickers (labels) and drug data sheets will appear automatically. Others can be added or removed as desired. If the data sheet is set to print by default, the checkbox will load next to its name; otherwise it is available to print but will not print automatically.

Ready for Pickup Status

This is an optional status that can be enabled at a pharmacy level. When this is turned on, the Pharmacy Fill Screen has an additional option besides "Review" and "Done/Issued" called "Ready for Pickup." The Done/Issued button is also clarified to say "Filled" when this status is enabled. See the Main Pharmacy Settings for where to turn on this flag.

After a prescription is ready for Review, the pharmacist can review the prescription and confirm that it is "Ready for Pickup." At that point, it may be placed in a bin near the pharmacy window. A user who is picking up the prescription must sign off on it using VetView.
Ready for Pickup appears in its own section in the Pharmacy Queue. You can create a special account that hides all prescriptions except within this status, and then use that as a "kiosk view" for a pharmacy lobby area.

If the pharmacist is the one handling the prescription, e.g. the product is being taken home by a client and handed over directly by the pharmacist, they can hit the Filled button to bypass the Ready for Pickup status.
For a user account that has the privilege to Start Pickup, an additional button will appear on this section of the queue.

Clicking on the Start Pickup button will transform the binoculars into check boxes. The user can select the prescriptions that are being picked up, and then click on Hand Over Prescriptions.

This will open up a confirmation dialogue box for the user who is picking up the prescriptions to enter in their username and password. They must have the associated Pick Up privilege in order for this to be completed.

The prescription is then marked with the user and the date/time of pickup, and this information will be stored permanently on the prescription and can be viewed in the Prescription Audit History.

Prescription Search Screen

The prescription search screen allows you to perform a search for previously filled prescriptions based on specific criteria, such as the drug dispensed, prescribing DVM, or the date range. This lets you build a custom list of search results, from looking for a single previous prescription, to creating a list to prepare for the DEA.
VetView contains a default Jasper report that emits results which mirror the search results display. You can create additional reports to match the requirements of your State Board of Pharmacy, such as a Drugs Dispensed report. See Reports for additional information on creating and saving custom reports.

The screen is composed of three major parts: The search parameters window at the top, the search results window at the bottom, and the reports selection via a PDF window that opens when you click on the Reports button.

This button is locked behind an elevated privilege. If a prescription was issued, but the quantity or product was issued incorrectly, the prescription can b "un-issued" and modified. All changes are recorded in the logs for auditing purposes. This workflow is optional and we strongly recommend that this button only be granted to pharmacists, not technicians.

Cancel FillMU requirement LIMS-7211, Cancel Fill button

If a prescription was issued, but the client is unable to pick up the prescription within the expected time frame and the medication is time sensitive (e.g. a compound that may expire), you can cancel the individual fill of the prescription. Unlike the Unissue button, this process does not modify the prescription but instead changes the status of that fill to Cancelled, and adds back +1 against the refill count. The Rx# counter for the refill remains as-is, and the cancelled fill is still available to search under the Rx#.

Prescriptions Dispensed Report

After selecting the search criteria for your prescription, click on "Prescription Search Results" to load a PDF version of the result list suitable for presentation to the DEA. This report can be further customized, if desired, by editing the base report in iReport. See the Reports section for more information.

Prescription Detailed History and Audit LogLIMS-4659, Prescription Audit Log. Requirement for KSU, AU, and UGA

Each prescription has the history recorded and time stamped from creation to fill. VetView will save each change as it is made to the prescription, including the user who made the change and the exact time the change was made. This information is then retrieved in two different ways from the Prescription Queue and the Prescription Search Screen if a user has the admin rights to view it – the History tab and the Audit Log tab.

Prescription History Tab

The Prescription History Tab is a visual representation of the changes made to the prescription. Each change generates a card that displays on the left of the screen, and the changed fields with each save display in red on the right. If you have questions about who changed a quantity and when, for example, this tool lets you quickly trace the timeline of the prescription and identify when the change was made.
This information can also be viewed in real time from the Prescription Fill Queue by clicking on the History button there.

Prescription Audit Log

The audit log is the second tab accessible with the admin privilege for prescription audits. This tab contains a list of all the changes that were made to the prescription, without the visuals. This list can be printed out on demand, and the report can be modified locally to include any additional information that your State Board of Pharmacy considers necessary for an individual prescription audit.

On mouse over, the blue fields in the Fields Changed column will give the previous value of the field for comparison.

Drug Management Screens

The Drug Management system for VetView allows you to submit products as wastes and associate it with specific patients, episodes, and prescriptions. You should be able to view the lifetime of the drug once it has been dispensed, including all usage and wastes.NCSU Requirement: Epic for system is LIMS-6706, NCSU ticket is LIMS-4285 Drug disposal forms are stored on the Patient Record in the Prescriptions tab, and will be linked to the episode via the Medication medical record group. They can also be accessed on right click for prescriptions, and on the Order screen.
VetView Drug Management System Term Definitions:

  • Drug Disposal Form (known as the Disposition in UVIS): A window in VetView that allows for the tracking and permanent archiving of the usage of a drug in patient care. Must be associated with an Rx that is in the status of "Filled" or "Partially filled" or "Daily Filled." Prescriptions in the status of Requested or Approved cannot have waste tracked. Prescriptions from a CDM can be tracked once they are considered Filled within VetView. Items on a bill that are not prescriptions or controlled substances can have this tracked, but it is optional on the item level whether it will be required. Items with any drug class linked are automatically required. Eligible products will automatically generate a link on the Medication section of the patient record, and the Prescription Tab.
  • Drug Management Search: A list of all forms that have been entered in the system. Used to create the Controlled Drugs Logs report for the DEA. Search by date, by unit, by product, by drug class, by pharmacy, by user who entered, and also by drug container.
  • Controlled Drug Logs: A printable report based on the search results from Drug Management Search.
  • Containers: The container from which the substance was taken. Can be entered at CDM level.


If a drug is taken from a CDM, the associated Drug Disposal Form will automatically be created, and be partially filled out.
Only the initial prescription Requestor, or the user who pulled a prescription from the CDM, can fill out the associated form. However, an elevated privilege is available for Chief Pharmacists to clear out any dispositions for any user, should that user no longer be available to complete the form themselves.
The setup of Drug Management is explained in the section entitled Drug Management Setup.

Drug Disposal Form


This is the entry form for usage and waste. It can be accessed from the patient record during an episode, and from the Management Queue once an episode has been discharged. It can also be accessed from the Order Management screen on the details area of a bill. New Requirements: (From discussion on 9/19/2017)

  • Tracking of waste should be an all in one process: Amount taken, amount used, amount billed to client, amount returned to inventory (if any)

Improper or missing wastes go to Deficiencies but do not prevent billing or discharge The Reasons and Methods can also be customized to restrict your users to a specific number of options.
Multiple disposal forms can be entered against a single product so long as the total amount administered and discarded does not exceed the total amount dispensed or billed. There is a customizable tolerance built in to Qty Dispensed vs totals Administered and Discarded – you can set it to 0% if desired, or allow the maximum your State/Province Board of Pharmacy permits. Bill Qty is independent and up to the discretion of each unit.
Some information will flow in from the prescription itself. On CDMs, the user for the disposition associated with the drug will be locked. Other information from the CDM will be locked and cannot be edited without an elevated privilege. NCSU Requirement – Need some data flow from Omnicell to the disposition. These fields should be locked. User, Qty administered, time, etc.Disposal forms can be saved as a Draft and edited later if no witness information was entered. Editing anything but notes or the bill qty after a witness has been entered will clear out the witness information, and require the witness be entered again. Witnesses for non-controlled substances can be disabled as a hospital setting.

Drug Disposal Search

All products marked as wasted and disposed will appear on this screen once the log is completed. Search can be done by pharmacy, unit, patient, user, drug and drug class as well as during a specific time period for required reporting to the DEA. The report format included is a basic form containing what the DEA requests. See Reports.

Drug Search Screen

This screen is intended to be used by pharmacy administration to display all points in which a drug has been used at your hospital. Unlike the Drug Disposal Search, this section lets you track how controlled inventory was removed, at all points within the hospital, including: prescriptions, CDMs, bill only, and inventory loss records.

The top section sets the search parameters for the list. You can search by products, by units or DVMs, by a specific date range, or by an entire drug class. The "outcome" search will pull in your custom drug usage list from the Drug Disposal Form. If there are multiple lines against a drug on the form, it is possible for the same patient, episode, and drug to be listed multiple times – but the quantity and usage will be unique to each line. Other fixed outcomes include Issued (for prescriptions) and Sold (for OTC or bill only items), or used if the entire product was used and no drug disposal form was tracked against it.
The results split out into a grid format. On the results, you can view the original prescription by clicking on the binoculars icon, or view the disposal form if one was tracked against the outcome.

The results will include the product name, quantity, unit, patient, episode, as well as some information about the last users who are associated with the outcome.

Last updated Date, Last Updated User, Issued or Used Source, and the actual out, as well as the DVM associated with the prescription or the sale, will also output.

Controlled Drug Machine Screens

The controlled drug machine page will open up the log from your central Omnicell, Pyxis, or Cubex machines. This will allow your pharmacy team to review any products that were removed and replaced, and the orders and patients associated with each drug. Any exceptions – products removed without an order or patient, products removed by one user and replaced by another (e.g. keys for wards or wings in your hospital) can be tracked, printed, or cleared from this screen. You can also print out the log for any DEA audits or internal records. This report can be customized, and if necessary can display both the user who pulled from the machine as well as the prescribing DVM who approved it.NCSU Requirement 11/20/2017 Note that Jeff says we need to make a minor revision to the Omnicell / Pyxis / Cubex communication, as currently the prescribing DVM overwrites the technician upon approval, and both users should be recorded. Control Drug Machine Setup

To enable the CDM interface the setup starts in the Pharmacy Setup Screen, where you define the machines that will be sending drug dispensing records, via HL7 messaging. In the setup you can setup routing rules once a transaction record is received. Every transactions is recorded in the CDM log tables, and by machine or product you can set routing rules for billing and/or generating a Prescription or Medication record. You can also set default billing overrides or markup or service fees, more billing option for CDM transactions can be set at the product level.

Once the machines are defined the API will need to be setup to send and receive the HL7 messages from the vendor's server. In the API you set the manufacturer, target IP address/port, HL7 routing information, and error email.

This section will allow for setting what the interface should do with the CDM transaction once received. You can also set bill override information from the product setting.

Point of Sales Screen LIMS-6834 – Point of Sales Epic

This screen will allow a user with the necessary privileges the ability to process a bill-only episode for a client or a patient even if the patient is not present. This screen is designed as task driven workflow software to allow you to choose only the functionality you need to process the sale or item return.
A patient or a client must be added before any tasks become available. Existing patients may be loaded, or a brand new patient can be added from this screen for OTC sales or retail prescription sales.

Fill Outside Rx

This workflow lets you process a prescription written from an outside RDVM, if your pharmacy has a retail license. The patient, owner, and RDVM are all required in order to process this workflow.
New patients (without existing prescriptions or any previous orders) are limited to in-person sales only (no mail order) and can only Fill Outside Rx or purchase an item OTC.

Fill outside Rx will load the New Prescription Form in the tab below. If the user logged in belongs to a dispensary pharmacy, the entire prescription request may be processed from this page. Otherwise, the request will be processed as part of the stand

Refill Rx

This workflow will let you refill a prescription for a patient who was previously here but is not returning for a visit. Refills will also have the option to mail from this screen.
Add New Rx, Approve Rx, etc. are all available from this screen provided the user has the appropriate privileges. (This is literally the patient's Prescription tab loaded into this window.)
Clicking the Refill Prescription will first prompt the user to create an open order, if one is not available. It will also create the necessary Bill Only Episode in the background for the patient.
Once the user has gone to the Prescriptions tab and selected the prescription to refill (or the option to create a new prescription if they have the privilege), the standard New Prescription form will open up on the first tab.

The user can then choose a method for the prescription: In Person Pickup, or the ability to link a mailing address to the prescription based on the Owner's addresses. After that, the prescription request is filled out as normal.

Mail Order Prescriptions

If the prescription being refilled is a mail order prescription, you can choose the option to "Mail To" from the top of the prescription fill form, and then choose the address to mail to. "Add Address" will open the Contact Method window from the client, and allow you to choose from the existing addresses, or add a new one if desired. This will flag the prescription as "Mailed Order" and permanently link the mailed address to the prescription.
The prescription request status should be set to something that will indicate that it is a mail order prescription to the pharmacy. The selected address will appear as a comment in the Fill screen of type "Mail Order Address."

After clicking the Purchase OTC Item button, the user will be prompted to open an order if necessary, and then a standard Order page will appear in the lower tab. A Bill Only Episode will be opened against the Owner and/or the patient. The user will be able to view and process the order, and then finalize the bill from this page.

The Return Item functionality will be available from the Order page as well as from this page, so that cashiers separate from the pharmacy area can also process returns.
Returned items will generate a Closed Order Adjustment and the user will have the option to return the item to inventory or create a disposal log for items.
Clicking the button will immediately load a list of the orders associated with the selected patient (or client, if no patient was chosen.) Return Order is the only option available on right click of the Order Results screen.

However, once the Return Screen has been opened, returns can be processed against multiple orders at the same time.

From this window, the user can add the item that is being returned, the quantity, confirm the refund amount, and choose whether the item will be restocked (for unopened items that can be returned to stock, e.g. flea power) or disposed. (Choosing Create Disposal will immediately load the disposal entry form on the next screen. See Drug Disposal Form. )
The form loads a Line Seq Product search that limits results to products on previous bills of type Inventory, going back in time.

Once the product has been identified, the bill that it was charged against will load in green. Click on the plus sign to add it to the list and then choose inventory options. Additional items can be added in the same manner


After clicking Process Return, the selected items will be returned to inventory or the drug disposal form will load. The user will receive a Closed Order Adjustment on this bill for the selected amount against the respective bills for the returned items, and can go to the Cashier to receive their refund as cash or credit or check, however the school wishes to handle it. If the user with POS screen access is also a cashier, this can all be handled by one user.

Global Settings Tab

The first options you need to define for your Pharmacy are global, and found under the Pharmacy Setup screen. These flags apply to all pharmacies under the hospital. Check with your State Board of Pharmacy to determine which features are required by your state's laws.

Witness Not Required for Full Usage

Turns off the Witness flag on the Drug Disposal form when the entire quantity is recorded as used. Recommended turned off unless you are using other methods to prevent drug diversion. NCSU Requirement added 11/28/2017 – Turn off witnesses if the entire amount of drug is used


Outside Rx Refill Defaults

This section under the Global Hospital Setup screen defines how your system will handled the "outside Rx" fill process. These settings only apply if your hospital has a retail license. An Outside Rx means a prescription from an RDVM from outside of your hospital that will be filled by the pharmacy. (As opposed to an External Rx, which in VetView is a prescription that your DVMs are providing to clients to take to an external pharmacy.)
You can define the unit to which all revenue is assigned, the appointment type, the "attending DVM" (usually defined as your chief pharmacist or the pharmacy manager, who must have non DVM prescribing privileges), and the main reason for the visit.

A hospital can have multiple pharmacies with different settings, different DEA numbers, different RX# for tracking, and even different inventory areas for accessing pharmacy items from storage areas.
You can add a new Pharmacy at any time by clicking on the Add button, and edit an existing pharmacy. Pharmacies cannot be removed (the DEA requires that all information stay tracked for at least three years) but they can be marked as inactive, so that no prescriptions can be dispensed in the future.
So if you want to add a new pharmacy location within your hospital, you can, and then you can remove an old Pharmacy by making it inactive.

If you have separate pharmacies, we strongly suggest setting up separate inventory areas for them, to avoid mixing up inventory and decrements from the wrong location. Only inventory areas assigned to the Pharmacy unit are available.LIMS-3657, scheduled for version 1.9 for the inventory improvements.

Dispensary Workflow

Allows a pharmacy to be designated a dispensary. This allows your technicians and clinicians to complete the request and fill process in a single step when submitting a prescription, all from the patient record. Use this for satellite locations without a pharmacist on staff. Your clinician must be set up to issue prescription fills for this functionality to work.

Enable Partial Fills

This box will allow your pharmacy to fill part of a prescription. The balance of the prescribed amount is automatically created as a remainder refill. If you disable this, your pharmacy will only be able to fill the whole amount of a prescription without revising the script or rejecting it.

Enable Daily Fills

This box will allow your pharmacy to process prescriptions for in patients with the "Daily Fill" status. Use this workflow if you pre-fill prescriptions for overnight patients instead of using a controlled drug machine.

Require Days SupplyUMN Requirement, LIMS-5670, Require Days Supply field

Turning this feature on will force your clinicians to calculate the days supply. If they use the Draft Terms, it will automatically copy over the days field. This value will be required on prescription approval, not the initial save/request. 0 is not allowed when this is checked.

Checking this box will force the prescribing clinician to include a total quantity of the product requested on approval. 0 is not allowed when this is checked. The amount may be edited by the pharmacist later if necessary. If the clinician uses the draft terms, this should be automatically derived from the values entered into the fields whenever possible.

Allows you to force the clinician to include a dosage ratioLIMS-4246, require dosage, UGA request. You can set up a special pharmacy for products that will require this information, if desired, or leave the checkbox off for all pharmacies.

Enable Clinician Held Prescriptions

Turns on the ability for a student or clinician to save a prescription to the patient record without sending it to the pharmacy, pending test results or the outcome of a surgery. Expiration dates are calculated based on drug class but can be manually adjusted by the user.

Enable Ready for Pickup

Turns on the Ready for Pickup status, allowing a pharmacist to review and approve a prescription but then require a second sign off when a student or vet tech picks it up at the pharmacy window.

Force Prescribed Product on Fill

Pharmacy Selection

Different pharmacies can share the same physical space, if you want to keep your Large Animal and Small Animal Rx number lines separated, for example. Pharmacies share the same product names and numbers, but you can designate different inventory locations if desired through the inventory system, as well.
Additional windows will also open once a Pharmacy has been clicked on, which allow you to quickly adjust settings that may change frequently.
A dispensary is a pharmacy location that can provide a limited assortment of prescriptions without additional pharmacist verification. It is designed for a community clinic or a field services, such as a TNR program.Confirmed this is disabled as of version 1.6 – we will need to re-enable, but also have major changes planned. See Prescription Request Dispensary Form for details on the planned changes. As of version 1.6 this functionality has been disabled on request. We will be modifying and improving this workflow in version 1.7.

This window allows you to assign which hospital roles are classed as Pharmacy access. Users will need to be individually assigned to each of these roles, and to your hospital's Pharmacy unit for access to other parts of the system. Roles can only be added to the Pharmacy and deleted on this page. (Modifications to roles is done under the Role Management page.)
At the time you add a role, you can designate it as an Approver / Issuer. Your pharmacists who can issue prescriptions should be assigned to this role, but your pharmacy staff should be assigned to a role that is not designed as an issuer. All pharmacy roles must be assigned to the Pharmacy in order to appear under the "technician" drop down on your pharmacy fill page.

Opens up a small window to let you select a Role to associate with your pharmacy. You can define your roles under the Role Setup screen. See the "Supported Roles" section of this guide in order to find the best privileges to grant to each of your pharmacy roles.
You can also define which role is required to issue a prescription. For example, for your dispensary, your clinician's roles will need to be set as an issuer in order to fill a prescription. Your pharmacy technician and veterinary technicians can be associated with the pharmacy, but should not be issuers.

Drug Class Rx #

If your state pharmacy laws require that you keep a separate Rx # line for different classes of drugs, you can designate them in this window. You can also specify a different prefix for each class of drug. This is optional.
If you delete a row, no data is lost for existing prescriptions. However, all new prescriptions for drugs of that class will revert back to the default Rx # line for your pharmacy.

Pharmacy Printer Setup

This section allows you to designate what printers this pharmacy will print to. Pharmacy labels should be a Zebra printer or equivalent designed to print labels on stickyback for your prescriptions, and the Pharmacy Data Card printer can be a standard printer that can handle Rx paper. As different pharmacies can be in different locations, you can assign the correct printer name to the task for each pharmacy. However, pharmacies in a shared physical space can designate the same printer for these tasks without any issues.

Presc List

From the results list, you can make a few changes to ASAQ charges without opening the product. For detailed adjustments, you must select the line of the product and either double click or click on the Edit button to open the full Prescription Setup page for the product.
A search for "amoxi" will bring up a list of all products that contain the search term.
You can click on a row once to select it and work with the product at this level. After selecting the product, click on the Edit button to go to the Product Details view and further modify the attributes of the product. Clicking on the blue link will also go straight to the Product Details view.

Product Details View

The product details view of a given product allows you to set specific information related to the pharmacy nature of the product. Inventory and billing details are handled under the main Product Setup under navigation. They can be accessed at any time by clicking on View Inventory Information.
In version 1.7 the Product Details view will be reorganized into additional tabs to help guide you toward the correct set up for the product on the Prescription Request screen.

Product Identifiers

Primary product information at the top lets you put in the detailed information for the product. Any changes made here will also apply to the same item under Product Setup once you click Save.

The default expiration of the prescription for this drug. This value will override the standard value of 1 year, or the script expiration as defined by your drug class. Use this for prescriptions that should only be used for a short period of time.

Refill Expiration

The default expiration for refills of this drug. This value will override the standard value set by the Refill Level on drug class, for prescriptions that have a shorter valid refill period than the standard for their class.

Generic Interactions and Labels

The Generic, Interactions, and Labels tab under the Drug Profile allows you to link related formulations to brand names. This allows pharmacists to offer generic versions if the clinician prescribes a brand name that is no longer available, out of stock, or available in a less expensive generic formulation. Generic families are also how drug interactions, species contraindications, and allergy alerts to drugs are controlled. Generics are defined under the Generic Master Setup.

Interactions Tab

The interactions tab allows you to set warnings associated with the specific drug. Warnings and interactions that are inherited from the generic family will display in bold and cannot be removed or edited from this list. More specific warnings to the individual product can be added and removed freely. (E.g. if this particular product also contains a solvent with interaction warnings, but the parent generic does not.) This is also where you can restrict the weight, age, and link allergy alerts.
Any warnings on this page will be combined into a single pop up should the patient match the contraindication criteria. The pop up will display upon Save or Approval of the prescription, either by the requesting student or the approving DVM. The warning is not a hard stop and the prescription can still be issued should the approving DVM choose to override the warning.

Auxiliary Tab

This section is where you can define the labels that will print out for inclusion with each prescription of this drug. The Aux Labels will appear at the bottom of the prescription fill screen so that your technicians know to apply them to the container, and the information sheets that will be available to print to your pharmacy printers at the point of fill.
Labels and data sheets are also inherited from their generic family. Generic labels cannot be removed, but additional ones specific to this particular formulation of the product can be added.
Both Labels and Drug Info sheets are defined under Pharmacy Info Master Setup.

Draft Terms

Prescription Request Default and Filters We have plans to potentially eliminate this section entirely and force users to potentially use the Drug Profiles / Preset Instructions instead, as a pre built profile is ultimately a more useful tool. allows you to specify the pre-loaded defaults for the drug on a prescription. Inventory Details (under Main product setup)

Disclaimer: This document only covers the Inventory parts of VetView that will be regularly accessed by Pharmacy. Further improvements and details on using the Inventory system are covered in a separate document.
To access a Pharmacy product under the main Product setup, you can either search from Navigation > Product setup, or click on the hotlink button "Go to Product View" that links the Pharmacy information with the main product information. There is a reciprocal hotlink to the Prescription Profile once you reach the Product page.
Note that Improvements to the Inventory system are tracked in a separate document to improvements to the pharmacy system. The final Inventory view may be different from what is presented in this document.

The full Product Info contains pricing information, inventory information, vendor information, multi-item setup, and details on how the product should appear on the medical record.
For the purposes of this document, we will discuss basic inventory settings, multi-item setup for compounds, and cross linking inventory information to multi-item products.NCSU Requirement to allow for granular tracking of lot numbers in compound recipes, LIMS-7134, added after discussion on 11/28/2017

The stock quantity multiplied by the sales quantity. If an inventory area has 10 shared bottles of 500 pills each stocked, the initial inventory count available for sale will start at 5000 and be decremented from that point.



Multi Item (Compound and Pack) Products

This tab defines the "recipe" used to make a compound multi-item product that is pre-prepared and then sold as a single unit. Future improvements (to be covered in our Inventory system overhaul) will permit for tracking of the individual attributes of each product in the compound, such as lot and expiration date. Ingredient products should be tracked at a small enough sales unit level to allow for accurate tracking of inventory levels when creating a multi-item product. The sales unit of the entire product should be tracked as a single bottle or box.

Click on "Add Product" to add a new ingredient to the "recipe."

Medical Record Settings

For pharmacy products, this section lets you generate a list on the patient's medical record. It is critical that products which are vaccines are labeled as vaccines in this section, otherwise they will not appear on the Vaccine report from the patient record. Anthelmintics and other medication types are optional, and not all products need to be noted on the medication section if they are trivial (e.g. alcohol swabs for sterilization.)
The Census Billing Option allows you to automatically add this product onto the bill of any patient who is an inpatient and staying overnight. (This is not intended for pharmacy usage but is included on this page for completeness.)

Drug Class Setup

Although the Drug Classes are standardized under the US DEA, we have created the Drug Class system to be editable such that you can customize the classes to match the descriptions and rules of your own State Board of Pharmacy or the rules or Quebec's Pharmacy Act, and also so that these can be immediately updated should the rules from any source change in the future. (That is, as opposed to having to wait for a new patch, rule changes can be implemented on the same day.) You can also specify the rules for refills at all pharmacies in your school, based on the state, provincial, or national laws. Refill rules are also applied to partial fills for NR and PRN, but this may be overridden with a special privilege where it is allowed by law.

Drug Class Options

You can set custom options for expirations on each drug class. A Refill Length of 0 along with PRN means that the client can have "infinite" refills as long as the prescription itself is not expired. A Refill Length of 0 along with NR indicates that there are no refills available for this drug class. Each class can be further customized according to your local laws.

Draft Terms Setup

Value

For terms of Frequency, the number of times to administer the medication during each day. For Durations, it is the number of days. Frequencies of less than 1 day should be 0. Terms that are not frequencies or durations should be 1. This allows automatic calculation of the Total Qty based on draft terms. For example, "EVERY 8 HOURS" would have a value of 3, since that is three times a day. "FOR 10 DAYS" would have a value of 10. The Total Qty will automatically calculate at 30 for the clinician writing the prescription.

The value of "duration" will also automatically populate into the "Days Supply" field – e.g. "FOR 10 DAYS" with a value of 10 will populate "10" into the Days Supply field on the prescription.


Generic Master Setup

This section allows you define the generics that your pharmacy stocks. These generics can be used to link brand name drugs, or products that are the same drug in different formulations and strengths or from different manufacturers together, while keeping the line and sequence numbers separate for inventory purposes.
A preview of the interactions for the generic and the labels associated with the generic will display below the list once you select a name.

Drug Interactions and WarningsNCSU Requirement – LIMS-7099, Drug Interactions

Through the Generic Master, you can define the following contraindications for drugs within the system:

  • A warning against this drug for patients of a particular species or breed
  • Restrictions by weight, also limited by species and breed
  • Restrictions on age, also limited by species and breed
  • Warnings based on a prior diagnosis (e.g. liver failure)
  • Contraindications against prescriptions in other generic families
  • Patient alerts (e.g. allergy warnings)
  • Custom warnings (information you want the clinician to have when prescribing, unrelated to a contraindication)

If a patient is prescribed a drug that is contra indicated or to which the patient has an allergy alert, the prescription will pop up a warning regarding the details when the changes are first saved on the prescription, and then again if the clinician approves the prescription request.

Custom Messages
The message for each of these warnings is custom. You must input the text that will be displayed to the clinician. If multiple warnings are triggered, the messages will appear in a list form (so that the clinician only has a single pop up.) This way, you can have a message defined for each generic, and not a universe one. These messages are inherited to drugs linked to the generic, so the warning will not need to be added to individual products once it is set on the generic.

Pharmacy Search SetupNCSU Requirement: Need the ability to customize these on the Prescription Search Window. (LIMS-6017)

Select any product types that you want to appear in the item selector under a prescription. (That is, the products that will come up in the product search box on the New Prescription screen.) Exclude products that your pharmacies will not have access to, e.g. services.
After making any changes a Save button will appear. Click Save to apply the changes.

Patient Status Codes Setup

The Status Codes are where your clinician can indicate the priority of your patient and how the pharmacy should prepare the prescription. Or you can set Mail Order prescriptions with a blue color.

Daily Fill Setup


Daily Fill (not pictured here) is a special status that will appear when the system is enabled, and will separate out your prescriptions from the regular fill queue out to a special Daily Fill sections, to allow your pharmacists to prepare medicines for the overnight cases or other long term inpatients. This section allows you to define common parasites in your region, associate them with species (e.g. Toxoplasmosis with felines) and define recommended treatments. This can help guide diagnosis and treatment plans. Because these are fully customizable, you can alter them as treatments are deprecated or new therapies are developed. Please see the Medication Record Group for more information.

The Descrption box is a smart search box and you can enter in a few letters of the treatment you want to add to the parasite (for example, "praz" will look up any products containing those letters, like Praziquantel for a tapeworm infection.) Only active products should appear.

Removes the product or treatment from the selected parasite. You can add or remove the association from this page but you cannot delete the product from your pharmacy on this page; that must be done under Prescription setup.

Use this for parasites that are associated only with certain species. This will limit the ability to add this parasite and the treatments associated with it to this species. Only active species should appear.

Enter in a free text for a common name or synonym for the parasite. E.g "roundworm" for the species Toxocara cati. Press the enter key to save it. These appear as search results on the patient record, but will add the correct parasite species when chosen. If you have the species differentiated, then "Roundworm" will automatically add in the correct parasite for the species of the patient. (On a canine patient, "roundworm" would default to Toxocara canis instead.)

Vaccines Setup

The vaccines setup page allows you to define a vaccine name and associate it with a species in your system. Items entered on this page appear on the Vaccine drop down of the Medical Record Group. See the Medication Record Group for more information. Vaccines that have been marked in the Medical Record Settings section will also appear on the Patient Vaccine Report automatically once they are added to the patient's order.

Pharmacy API Setup (Daily Fills and Auto Cancellations)

The VetView API is the interface between VetView and many other systems in your hospital, such as controlled drug machines, imaging machines via RISC, diagnostics machines, etc. The API also handles cron jobs which are events that happen on a timer, instead of firing off based on user actions.
The API setup is accessed outside of the main system of VetView, to avoid accidental changes or unauthorized access.
Currently, only the auto-cancellation of old prescriptions and the Daily Fill process require the VetView API. See the Daily Fill Status for more details.
If the API fills a Daily Status prescription, it will also auto-decrement the quantity from the inventory, and change the Fill Start date to the next day, so that the prescription is visible under Daily Fill – Tomorrow in the Prescription Queue. Any newly entered prescriptions under Daily Fill will appear under the Daily Fill – Today for manually processing.

Hospital Pharmacy Nightly Jobs

API Section

Contains the controls for the Hospital Pharmacy API chron jobs. Currently only the Daily Fill Status has an associated chron job with it. It can be set to run at any time, but we recommend off hours.

Fill Daily Scripts

Turns on the Daily Fill status chron job. For any prescription in the status of Daily Fill, the API will automatically re-approve the status and change the Start date to the next day.

Cancel Prescriptions for Discharged Patients

Checkbox

Turning this on will automatically cancel the prescription for a patient who has been discharged and is no longer on the patient census, so long as the prescription has not already been changed from Daily Fill status. For example, if a prescription had Send Remainder Home, then the prescription is no longer in Daily Fill, and will not be cancelled. If the prescription was already cancelled manually, this will have no effect.

In addition to the global and pharmacy specific setup options required above, there are certain settings you must provide to the users in order for them to be able to perform the functions of a prescribing clinician or a pharmacist. These settings are defined at two levels – the administrative setup, done before the employee logs in for the first time, and then the user preferences.
For the specific roles you should create and details on the pharmacy specific privileges, please see the Supported Roles section.

Admin User Management

Under Navigation > User Management, create a new user, or select the name of the existing user who will be assigned to a pharmacy position.

Under Hospital Options, a prescribing clinician must have valid DEA information filled out in order to issue prescriptions. You can associate a CDM user number with the clinician on this page as well. If the clinician participates in ASAQ, this information should be entered too, but it is not required for pharmacy purposes. The DVM record must be set to "Active" for the user to be able to issue prescriptions.

Indicates that the employee is an active DVM. A clinician must be marked as active in order to issue prescriptions. To preserve record integrity, if a faculty or staff member leaves the hospital, set their DVM record to inactive but do not delete them. This way the DEA number remains recorded on their prescriptions and associated with the user, but no new prescriptions can be issued with their login.

State License

A drop down menu to choose the state, and a place to enter the State Board license number for the clinician.

DEA number

The user's DEA number. Note that this is a raw text field and will not check the integrity of the number or verify that it is valid. Please ensure that the DEA number for the clinician is correct when entered.

CDM User Number

The user's assigned CDM number (for Cubex, Pyxis, etc.) This associates the user account in VetView with the user account in the CDM, and tells the CDM that the user is authorized to issue prescriptions for controlled substances.

The start and end dates of the user's license. You will need to manually update these dates when the user has renewed their state license.



Additional hospital options are defined in the box on the right hand side of this screen. For the purposes of pharmacy functionality, the clinician may be assigned to a default pharmacy. This pharmacy can be manually changed on the prescription request form at any time, but it will be the initial one to load for new prescription requests from the patient record.

User Preferences

The User profile is accessed by clicking on the user name at the top right corner of the main VetView screen. Many of these options are the same as the admin defined information. However, the user can change their own default pharmacy and set their email preferences from this page. For example, if they want to receive an email on their external device every time there is a prescription to approve, they can set it up on this page by entering the email address and checking "User Mail." When a student or tech enters a prescription and clicks "Send Pending Approval Notice" then an email we be sent to this listed email address for the clinician to review.

Most of these options are the same as those defined by the Admin User Preferences, but there are two different ones which are highlighted below:

Hospital Portal Prescriptions Section

Clients who log in to the Hospital Portal will have a limited view access of the patient record, including a list of all the patient's medications.
You will need to ensure that the Hospital Portal account is linked to the Hospital Client account to allow the external user access to the patient record.This is beyond the scope of the pharmacy document. Please see the Hospital Portal document for how to set up a user account on the portal and link it to a Hospital Client.

A list of patients will appear when a client is logged into the portal successfully. Click on the patient name to access a high level overview of their medical record, including a list of current and past prescriptions.

Prescriptions appear in a view-only list. The status of the prescription itself appears, and the number of refills remaining shows up. Clients will need to call in to request a refill. Subject to change

Home Screen Pharmacy Widgets


Click on "Add Widget" to open up the selection of available widgets. The Pharmacy specific widgets all contain the word "prescription" but the Product Estimate tool is also useful for looking up the costs of specific medications when a client is not present (e.g. an RDVM has called to inquire about the price of a medication.)
Pending prescriptions opens the Prescription Request screen when doubled clicked. Prescriptions in Process and Review will launch the Prescription Fill Screen.
On these pages, you will see similar columns and icons. The functions of these are as follows:

  • The pencil icon will allow you to edit the prescription. It will take you to the Prescription Fill page.
  • Patient number and name will go to the Patient Record
  • Owner name will go to the client's account page
  • Script will give an info dot that shows some of the current prescription information, followed by the drug name
  • Status is the current status of the prescription. Any prescription in these widgets will need further action on them, and the user viewing the script is the person who is assigned.
  • Prescribing DVM is the clinician who approved the prescription request


My Pending Prescriptions (Requested By)

This widget will display any prescriptions that you requested. This is intended for students who wish to track the approval process of prescriptions they submitted.

My Pending Prescriptions (Prescribing DVM)

This widget will display any prescriptions for which you are listed as the prescribing DVM. This widget is intended for clinicians to review and approve the prescriptions of their students. Note that clinicians can approve prescriptions immediately after the request is made by the student, by entering their username and password on the Prescription Request page before the student closes it. This window is intended for asynchronous prescriptions, such as called-in refills or prescriptions that are less urgent. Prescriptions can be edited on the patient record before approval.LIMS-6302 – Add in the pencil icon so that users can edited the Rx from this widget

Prescriptions "In Process" (Reserved by)

This widget is intended for use by pharmacy technicians. It allows an overview of any prescriptions that are currently reserved by the user, so that they can monitor any work they have started processing but has not yet been fully processed.

Prescriptions in "Review" Status (Pharmacists)

This widget is for the pharmacists to review any prescriptions that have been processed by the technicians but need a final approve before filling. The technician can pre-assign the pharmacists to review by entering their user name into the field while submitting the review prescription
