Automated Release of Information via Events

Automated Release of Information via Events

How do I set up events to trigger when a document is verified?

The release of information from the patient record to the owners or RDVMs is controlled via the Episode Type and its settings under Episode Type Events.

Click on Add Action to create a new event trigger.

The Event Setup window will open.  This is a long form that allows you to specify what event occurs, what action should happen when the event occurs, and add in custom email or fax text.

For the event of Document Verification, you can also specify what document must be verified, and it will be included in the email or fax as an attachment.  This adds additional options, such as resending on reverification, or allowing the clinician to control when it is sent.

How do I send these documents manually via the Communication Worklist?

When Auto Send is turned off, this document will be queued on the Communication Worklist to allow the client coordinator to review the document and ensure that it was completed appropriately.

These communications will then appear on the Communication Worklist in the status of "ready."

They can be Previewed, and then Sent when the user confirms they are ready to go.

How do I send these documents automatically without going through the Comm Worklist?

When Auto Send is turned on, then these communications will not be queued on the Worklist, but will be sent as long as the conditions have been met.

This is recommended for simpler communications, such as a notice to an RDVM that a patient has been checked in or discharged, without an attachment that must be completed or verified.

If my document is reopened and then verified again, will it automatically send?

For individual documents that are set to trigger upon Verification, you can have the document automatically resend when the document is reverified.

Check the flag on Individual Document / Request.

How do I block or trigger a manual communication from the Patient Record?

If there is information that should not yet be sent to RDVMs, you can block the automatic send of the document from the Verification Window.

Documents that have the automatic send from Episode Events will display Message as a toggle in the Verification Window.

To stop a message from auto sending, turn this flag off.

To resend a document on reverification even if it was already sent once, make sure this this flag  turned on.  (If you have the Resend Communication on verification flag turned on under Episode Events, this flag should default to be on when the verification window is opened.)
