How to Request a Test from the Labs Portal (VetView 2.1 and 3.0)
How do I register for my Labs Portal account?
If you have previously submitted tests to the lab using VetView and have not previously asked for Lab Portal access, you will need to create an account.
Go to the Portal website provided by the lab. On the Login page, click on the button that says Register.
The Labs Portals can be customized and so the colors, fonts, and text on this login page may be different than the screenshots used in this tutorial.
Enter in your Lab Client information
Enter in the name of your business, the name of the primary contact for lab results, and the email that you use for communications with the VetView Lab.
Your username and password can be anything that you want, but please make sure that you remember this information for future logins.
Select the Lab that you are requesting access to. You will need your Client Account Number that appears on your invoices from the lab. For universities or lab sites that have their laboratories sorted into locations or departments, you may have multiple client account numbers, as they all handle their clients separately.
If your lab has VetView Hospital running as well, you may see the option to request access to your hospital's patients as well, as seen in the example below.
When you have finished filling out the form, click on the Submit button. You should receive a welcome email shortly with additional instructions.
Account Provisioning
Your lab's client services team will need to manually confirm your account. Once they have completed this process, you should receive a Welcome email.
If you have not heard from your lab after one business day, contact the lab to confirm that they received your account. Client services also has the option to manually created accounts on their end, in the event that something was not completed properly from your submission or their receipt of the request.
How do I request Submission access to a specific Lab?
If you already have access to a VetView Lab for viewing the catalog, reviewing account statements, or paying your bills, you will need to contact your Lab to have them manually turn on the ability to Submit Requests from the Portal. Once you have been granted access, you will need to log out and log back in again to see the new options on the Portal.
New Portal Layout
Labs for which you have access will appear on the Home page. A quick overview of accessions you have previously requested may also appear.
Click on the More button to see additional options for this lab.
Once inside the Lab Portal, you will see a list of available options at the top. All features displayed here pertain only to the lab for which you chose the More button.
To switch Labs, go back to the Home page and choose the More button for the lab you want to change to.
How do I search for tests in the Labs Catalog?
From within a Lab Portal, click on the Catalog tab at the top of the screen.
A new screen will appear that contains all of the items that are available to order from the Lab's portal.
To search for a specific test, enter a keyword in the field that says Search Catalog...
For example, searching for the term "PCR" will bring up all available PCR tests from this lab.
How do I Request a new Test?
Select the Tests you want to order
From the Catalog screen, click on the green plus sign next to a test to add it to the request. The plus sign will change to an X to indicate that it has been added.
Click on the red X to remove the test from the request.
Fill Out Request Form
At the top of the screen, click on the button that says New Request. A new screen will appear with an order form.
Select the Lab Site you are sending this order to, and the Clinic that you are sending it from. (There may only be one for each option on this screen.)
You can enter in an existing RDVM, Owner, and Patient, which are pulled from prior submissions. Or you can click on the buttons to Add New RDVM, Add New Owner, and Add New Patient and fill out the information if none of that information was used previously.
For new RDVMs, Owners, and patients, fill out as much information as possible.
Verify select tests
Confirm that the test you selected on the Catalog page is the correct test displayed under the Tests section.
Add the specimen that will be sent. Then click on the Submit button.
Request Submission Confirmed
Your new request will appear on this page. It will be assigned a Request ID, and you will have the option to print the Submission Form from a button on the bottom.
The submission form will download as a PDF, so that you can save it in your own patient records, and print it to mail with the Specimen.
How do I re-use my existing patients and owners?
Any existing RDVMs, patients, and owners will be available to select from the drop down menus. While VetView does its best to reduce duplications, sometimes our system may have multiple instances of the same patient or RDVM if they have different records on our side. Use the one that has the most up to date data.
How do I view the status of my Labs Accessions?
Any previously requested tests will appear on the Requests tab at the top. You can see the Status for each request on this screen.
How do I view the Accession Report?
Under the Accessions tab, select the search criteria for the accession you want to view, either by patient or client. You can also filter by dates. Click on the Search button to find the matching accessions.,
Click on the Accession Number to download and save or print the accession report.
If you do not have the accession report available or do not see any accessions even after clicking on the Search button, please contact the appropriate lab for further information.
