How To Report Episodes to AVMA

VetView can automatically mark episodes as being valid for AVMA reporting purposes.   

The AVMA Statistics Report can be found under the Accounting > Reports tab.   This report breaks down the valid AVMA visits by species.

AVMA Report

The AVMA Report is intended to report any episodes in which your patient visited the hospital and was seen in person.  Bill only episodes and pharmacy refills should not count for AVMA statistics.  Field Service episodes, in which the patient was seen off site, are counted as a separate category.  Only episodes and species that are both flagged as being valid for AVMA statistics will be counted.

The majority of patient visits to your hospital should be counted for AVMA reporting, and this flag should rarely be altered on patient episodes.  The process is intended to be passive to facilitate easy gathering of the data. 

How do I set up an episode type to be counted toward the AVMA statistics?

Under Hospital Setup > Episode Type Setup, the flag for AVMA is on the Episode Type tab.  (See Episode Type Setup screen for more information.)

Once an Episode Type has been marked as AVMA Reporting, any Appointment Types that use the Episode Type will be counted in the statistics. (See the Appointment Types Tab for more information.)

How do I mark an episode as being valid for AVMA on the Admission screen?

Any Appointment type that uses an AVMA flagged Episode Type will automatically be counted on the AVMA report.

How do I mark an episode as being valid for AVMA after the episode is already checked in?

If the episode type should have been classified as AVMA and was not set up to do so, you can manually turn this flag on with the administrator privilege on the Patient Record.

(Please verify Episode Type setup to prevent this issue from happening in the future.)

Right click the episode, and Edit Episode Header.

The AVMA flag can be turned on from there.

How do I indicate where a species should be included in the AVMA report?

Species will be sorted on the report based on classes.  The current classes used are Small Animal (SA) and Large Animal (LA.)  

You can also adjust how the species name will appear on the report if you use a different species name internally. 

In the example below, the species Canine will be sorted into the SA category on the report.

How do I run the AVMA report?

On the main Accounting Screen, under the Reports Tab, you can find the AVMA report in the drop down menu.

Select the date range for the report, and click Run the Report.  The report will appear in a preview pane, and you can download it as a PDF, print it, or Export to Excel. 

How do I customize the AVMA Report?

The AVMA report included with VetView is a standard system report.  If you have a need for a different layout, you can create a new Local Report of type AVMA Report using Jasper Reports, and add it using Report Setup.
