As of VetView 4.2 the creation of student accounts for Jr Surgery can be handled entirely within the application.

Preparation

You will need the following information:

• Administrative access to the GSP server. This can be using the shared admin account or using your personal MyID account with assigned administrator privileges if you prefer. Contact Shauna Morris with VetView for access.

• A spreadsheet of all of the student accounts. This must include their UGA MyID, their first name, their last name, the name as it should be displayed within VetView, and a unique tag (i.e. Class of 2026.) This spreadsheet needs to be saved in Excel '97 Format for VetView to be able to recognize it.

• A single episode that has been pre-created starting with the case number that you want to use. Since the GSP server is archived, wiped, and restored each year, you should be able to start with any number that you want. This episode should have the patient and the needed details on it. The bulk duplication process will automatically increment the case number by one.

  • You can assign 1 student per case automatically while creating the episodes

  • If you want to assign more than one student to each episode, you’ll need to handle this process manually within VetView, or using an external script against the database. Contact Shauna for assistance.

Step by Step Documentation

1. Mass Upload of Student Accounts:
   This is explained within our Confluence page Mass Load Employee Accounts Tab (4.2)

2. Create a single Pre-Admission with a model patient and owner under the unit “General Surgery” the appointment type of “New Patient” and the reason of “Practice Case” (either individual student or group projects.) Also include the supervising faculty for the patient project.

3. Once your students are created in VetView and you have a model patient in the system, you can use the Administrative Function to Duplicate Episodes and create instant copies of the model patients.

   1. For individual student cases, the students can be automatically assigned to each episode during the duplication process.

   2. For group projects, you may need to manually assign the students by the groups, or assign them via a database script. Contact VetView for assistance for creating a database script.
