Episode Requests

Episode Requests

A Request is a document that will be filled out or completed by a different unit than the one associated with the current episode.  Documents are intended be handled by the unit that is overseeing the visit - the student, techs, and attending DVM who are in charge of the care of the patient.  A request is sent to another unit for a specific task, such as labwork or imaging, that will be performed by staff outside of the episode unit.

When a request is added to an episode, the associated medical record category is also added, and the request can be monitored on the episode based on the external statuses displayed in the record.  Personnel may also receive status notifications as a request is processed and completed.

Because Requests are intended to be completed by personnel outside of the episode, not all options available on Documents will be available on requests.

Add A Request

Right click on the Episode Header, and choose "Add New Element > Add Request" to open up the request dialog box.

Or click on Add Requests from the header for the episode.

All the requests available for your hospital will load on this page.  Requests can be filtered by catalogs, by units, or by pick lists if those have been set up.

Request Window

Or, if you know the name of the request you want, you can start typing it in on the request line itself.

For example, typing in "FIV" will load up any requests that include those letters, regardless of the unit.

If required, enter in a specimen name, and the date and time it was captured.

The Requesting DVM is the supervising clinician, and the Requestor is the student, technician, or other staff member who is submitting the request.

Draft Status

For requests in which you may not have all the required information, you can click on Draft, and return to the request from the patient record later.

Request Questions

The request unit may also have some questions that must be answered as part of the request.  These will appear after you click on the Next button.  (If there are no questions, then the Submit button is immediately available instead.)

Request questions may be optional, but if they are required they will appear with an underline.  A request cannot be submitted until the required questions have been answered.

Right Click Menus on Requests

The context menu has different options depending on which part of the Request that you click, and the current status of the Request.

Header Context Menu

The header of the request (top line) has limited options.

  • View Past Results can display all the previous results of this same test over a period of time.  For patients with chronic illnesses, this tool lets you monitor the animal's progress over time.
  • Print Report opens the final report of the request in a PDF window to be printed locally.
  • Print Labels will print out the request information, including any bar codes you have set up, to put the labels on the specimens after collecting them.

Request Item Context Menu

The Request Item (body of the Request) may give you the Charges option, to associate any charges for the request with the current episode order.

If the logged in user is a member of the unit to which the Request was sent, the context menu may have many other options available.

Members of the Request unit can accept, perform, transcribe, and many other options, depending on the workflow established under Catalog Setup.

Some options, such as the ability to cancel or verify, will also require an elevated user privilege.

Hospital Requests Screen

Requests will either be performed in the Labs module of VetView, or in the Hospital Request Screen.

Users must have access to this screen, and also be a member of the Unit to see Requests on this screen.

For more information, please see the documentation for the Hospital Request Screen.
