How to Find a Prescription that was Previously Filled
How can I see previously filled prescriptions on a current prescription?
Prescription History
When you are actively filling a prescription and you need a quick reference as to what other medications the patient may currently be taking, you can find a brief history of prescriptions under the Patient Prescription History tab on the prescription itself.
Full script details can be found by mousing over the info dot next to the drug name. (For pharmacists with the privileges to do so, they can also add new prescriptions and request refills from this tab.)
Refill History
The Refill History shows a list of any prescriptions that are in the refill chain of the current prescription you are viewing.
Prescription Change Log
Prescriptions in VetView have a version history. This records any changes made on a prescription from the time of Request to the time of Fill.
It displays the last user to make changes before a save event, and on the panel to the right, highlights the previous value of the field, and the value that each field was changed to on the Save event.
Use this tool to audit changes made on a prescription, such as product changes or quantity changes.
Back to Search
If you accidentally click on the wrong prescription, you can click on the Back to Search button.
The system will remember your previous search criteria, and restore your results.
How do I see previously filled prescriptions from the Patient Record?
If you know the case number for the patient, you can find a Complete History of the patient's prescriptions under the Prescription tab on the patient record.
This contains a list of every prescription that was filled for this patient, including any expired prescriptions.

How do I find lists of all previously filled prescriptions that match certain criteria?
Prescription Search Screen
The prescription search is a powerful tool that will not only generate a list of prescriptions matching your criteria, but also allow you to view the historical details of the prescription - when it was requested, approved, and filled, and also what changes were made during the prescription process.
To find a specific prescription for a patient, you can search by case number, the Rx#, or by the owner. A list of all matching prescriptions will display below.
The Search Screen also allows you to search for prescriptions using other criteria, such as the specific product or even a whole drug class, prescriptions issued during certain dates, the prescribing DVM, or the pharmacy technician who processed it.
Rx Types
The search field for Rx Types allows you to narrow the search results down by how the prescription was requested.
- Regular Fill prescriptions are requested by a clinician, approved, then processed by the pharmacy. They are for a set quantity of medication and have been labeled in such a way that a client can legally take home the drug in a container to give to the patient for the listed duration.
- In Hospital Use prescriptions are intended to be used by the clinical staff while the patient is present. These prescriptions may require a MAR if the drug is considered dangerous or controlled and has been marked as needing a record of administration.
- Daily Fill prescriptions are for standing patient orders that are prepared and filled by the pharmacy in the morning for inpatients. They can be refilled automatically by the API overnight, until the patient has been discharged. They can also be manually stopped on the patient record at any time.
- External Script prescriptions were requested by an RDVM and processed through the Fill Outside Prescriptions screen. These prescriptions may not have a corresponding episode, other than a bill-only episode and order, as the patient was not necessarily seen at the hospital.
- CDM Orders is for sending a patient profile to the controlled drug machine and then taking out a given dosage over a set period of time. Example 1 table every 8hrs for 3 days. user get 1 tablet each time.
- CDM Fill is for sending a prescription to be filled to go home. Unlike CDM Orders, the clinical staff obtained the total quantity at once with go-home client labeling. Example give 1 tablet every 8hrs for 3 days. users would get all 9 tablets once.
- CDM Dispensing is for workflows where the prescription is obtained from the CDM and then approved after the fact. This is intended for emergency usage only, when an approver is not available to review the requested CDM Order or Fill.
Prescription Search Results
The results for this output into a list format. You can sort by the columns to find the most relevant matching prescriptions first.
Print Prescription Results
To generate a printed list in PDF format, click on the Print Search Results button. A report will load.
Your system administrator can modify the output of the PDF to match specific reports that you need for your State Board of Pharmacy.
Export PMP File
If your hospital participates in a state Prescription Monitoring Program, you can search for the results from a single pharmacy, and output the file into a message which can be uploaded to a PMP server.
Only prescriptions that have the PMP flag on product setup will be included in this list, so you can customize the products included in the PMP output for your state's DEA requirements.
One of the search criteria to use the Export to PMP file feature must be a pharmacy. Without a pharmacy selected, you will get an error. You can further modify the search criteria by date.
View Prescription Details
Click on the hourglass to view prescription details.
This view includes the prescription as it appeared at the time of fill, a Refill History, a Patient Prescription History, and a Prescription Change Log. These tabs are identical to the views on the Pharmacy Fill Screen. If a user has the highest level privileges, they may also see options to Cancel the prescription or to Edit. (Editing is only intended to correct typos or add comments to a fill after the process is completed.)
Refill History
The Refill History Tab displays any related refills to this prescription. If there has only been a single fill, only one prescription displays.
Patient Prescription History
This tab contains all the other prescription that your hospital has issued to a patient. (Note that Client Reported prescriptions or medications do not appear on this page, although they appear on the patient record.)
You can jump to any prescription on this list by clicking the binoculars to see that prescription's detailed view.
How do I find prescriptions using the Query Builder?
The Query Builder tool in VetView is designed for more robust searches. While prescriptions are not a filter, Product (from the bill) can be used as a substitute. Since all types of prescriptions should list the drug that was administered on the bill, this also allows for you to include every method that a drug was dispensed when searching for data.
For example, to find an answer to the question: "How many feline patients did we dispense phenobarbital to in 2015?" you can set up a query search with the following parameters.
For the Output Columns, include at a minimum the PA# and the Patient. You can add other information that might be helpful, such as the Order Close date, any diagnosis, the episode type or unit, etc.
As of version 2.0.11 the Query Builder is still in beta status and does not offer deduplication or count as a feature, nor can the results be exported. You will likely need to manually process some of the data externally in a separate spreadsheet.
Click on Run Query to find any patients that match the selected criteria. Note that each instance of the product on a patient order will generated a line, so for a patient who had multiple CDM draws for the drug during an extended inpatient visit, you may see many times. Use this as your starting point to identify the patients that match your search criteria.
