The inventory reconciliation page is intended to allow you to update inventory counts.

It consists of two sections, a search page and a list of inventory results.

An Inventory Area is a unit that has been designated to receive inventory.  An Inventory Location is a smaller space within the area where inventory may be stored - such as specific shelves, closets, or cabinets.

Inventory reconciliation begins with the search section.  

You must select a specific inventory area to start, but you can narrow it down to specific products, locations within the larger area, and also filter by dates last reconciled.

After you have selected your inventory area, any other search criteria you want, and pressed Search, a list of products stored in the inventory area will display below.

You can click on "Print List" to load the Inventory Reconciliation report, which will allow you to update the counts on paper then bring them back to VetView to be entered.

After you have entered new counts in the Actual Qty column, the Post New Values button will become available.  This will update the inventory counts for the products with new values.

Inventory Reconciliation Screen

The Inventory Reconciliation screen is a tool to match actual inventory counts at at a physical location with the amounts stored in the system.  This process should be done according to your hospital's best practices. 

Inventory Reconciliation and Adjustment Search

At the top of this screen is a place to search for inventory areas, their sub inventory locations, or products within a specific inventory area or location. (You must select at least one Inventory Area to perform a search.)

FieldDescription
Inventory Area(Required)  Displays results from this inventory area.  Only one Inventory Area can be searched at a time, and one must be selected to perform the search at all. 
Inventory LocationOptional field for inventory areas that have sub locations within them.  If only one inventory location is associated with an inventory area, it will automatically load in this field 
Lot NumberSearches for a specific lot number within the inventory location.
ProductSearches for a specific product within the inventory location, either by line and sequence number, or by keyword.
Last Recon. DateSearches for products within the inventory area based on the last reconciliation date ranges.  Use this to build a list of inventory that has not been counted recently.
Hide Reconciled InventoryWill suppress any inventory reconciled with a username and date from the results, regardless of last date reconciled.
ManufacturerSearches for products by manufacturer.

Inventory List

Warning

This section performs best on a minimum screen size of 1920 x 1080.  For smaller screen sizes, a scroll bar will appear on the bottom of the screen to facilitate the entire width of this list.

After search for inventory in the top section, a list of all products matching your criteria will appear below.  This screen allows for direct modification.  You can verify the current listed quantity, change it to the new quantity, and then Post New Values.

You can also print this list to create a physical report that can be carried to the inventory location if you are unable to take a laptop or tablet with you for the task.

ColumnDescription
Line Sequence ProductThe line, sequence, and name of the product as it is stored in the product tables.
LocationThe Inventory Location if there is a sub location and you searched the entire Inventory Area.
Sales QtyThe total quantity as it is in a unit sold.
Sales UnitThe unit for which it is sold, whether that is "each" or "bottles" or "tablets" depending on the specific product setup.
Unit CostThe total unit cost as stored in the product tables.
Sales to Stock RatioThe quantity of unit as it is sold compared to the quantity as it is stocked.  A medication may be sold as a single pill, but stocked in a bottle of 1000 pills.
Stock QuantityThe total quantity of the stock units that the inventory area currently has listed.
Stock UnitThe unit type that the product is stocked as.  This can be changed on the fly on this screen if your supplier changes its method of packaging.
Actual QuantityThe total quantity of stock units that your inventory area or location actually has.  Ideally this matches the amount stored in the system, but if it is different, you can use this screen to reconcile the difference.
ExpirationThe expiration date if it was entered during the stocking process.
LotThe lot number if it was entered during the stocking process.
SerialThe serial number if it was entered during the stocking process.
ManufacturerThe manufacturer if it was entered during the stocking process.
Last ReconciledThe date of last reconciliation in the system.  If the product has never been updated, this will be blank.
ByThe last user to perform reconciliation in the system.  If the product has never been updated, this will be blank.

Post New Values

Click on the Post New Values button to apply changes to the Inventory from the reconciliation list.  The list will then be updated with the new numbers, and give a date and time stamp of the user who entered the new values in.

Print List

Click the Print List button to create a PDF of the search results.  This list can then be taken around to the physical location of the inventory for a manual reconciliation process.  Changes can then be applied to the area based off the paper.
