How do I go to the schedule screen from the PA screen?

Once you have the patient's admitting unit, appointment type, and main reason, you can jump over to the Schedule Screen for the unit you have selected and find an available appointment on the dates that the client prefers.

Click on the Schedule Appointment button to jump to this screen.  The schedule for the selected Admitting Unit will display.


How can I find the next open appointment?

When you get to the Unit’s schedule, you can utilize the tools at the top of the screen to click on a date of the calendar, or to find the next available appointment after a specified amount of time. 

Click on the Find button to open the Find Next Time Slot window.

The Unit and Schedule will load to the current unit and schedule displayed, if only one is selected.  If you are viewing multiple schedules, select the unit and schedule you need, and then select the appointment type.  Multiple appoint types can be searched.  You can also specify a specific DVM associated with a time slot, if you are using that feature and the client has a preference.  You can also limit the results to a specified period of time, e.g. only display results starting from a week out or a month out.

Results that match your search criteria will display in a list below.

Double click the appointment you want to view to jump to that Day in the schedule.  Then you can Cancel out of the finder if that day will be satisfactory to the client.

How do I put my patient on the schedule?

When you are ready to put your appointment on the schedule, you can do so by picking up the PA card, dragging, and dropping it into the time slot.  

The appointment will automatically snap into the time slot, and merge the time slot's details with the patient information in the background.

My schedule does not have any open appointments.  How can I add a patient to the waiting list?

If the Find tool did not locate an open appointment in an acceptable time frame for your client, you can drag the PA to the Waiting List instead of a time slot.  This creates a Waiting List appointment type.  You can have both a regular Appointment and a Waiting List appointment scheduled on the same PA, to reserve a future time and date for a client but also have them visible in case there are any cancellations. 

Right click on the appointment, and click on Schedule Another Appointment to add the PA back to the left hand panel.  Then drag it onto the Waiting List.

A new window will pop up confirming what date and time the client would prefer.

The Waiting List appointment will appear once you click on Save.

How do I schedule a Request as an appointment?

If your hospital will be using the Schedule system for Requests, and you have the rights to schedule requests, you will get the option to Schedule This Request at the top of the request screen.

Clicking that button will automatically load the schedule for the selected Request unit, and load the Request into the left hand panel just like a PA.  

Drag the Request into an open time slot to schedule it. 


I don't have scheduling rights.  How can I show that my patient needs an appointment scheduled?

Upon Discharge of an episode, clinicians and techs without scheduling rights have the option to mark a patient as Needs Appointment.

They can specify a preferred date and time, and then this information becomes available to the front desk or client coordinator teams for later scheduling.

Schedule Prior to Discharge

As of VetView 3.3.1 you can also schedule these options prior to Discharge.

Right click the episode header, go to Discharge Options, and choose to Schedule a Pickup (on the current episode) or Add to Needs Appointment List (for a future episode.)
