Send an order balance to accounts receivableWhen an order is closed, if the balance is not fully settled at the time of closing, the remaining balance will be 'Sent to A/R'. This is a step that is taken after the order is closed using the following screen. Accounting screen → A/R Credits/Debits tab → Closed Orders with Balance subtabThe date search field will default to the current date, and all orders that were closed on the current date, with an open balance, will be listed in the search results. By selecting the 'Send Pending' button, the order in the search results will be marked as 'Sent', and they will appear on the 'Closed Orders with Open Balance' list, and 'A/R Transmittal' report, which will print when the 'Send Pending' button is clicked, or they can be printed independently using the 'Print List' or 'Print Transmittal' button. - The order open balance will be reported to accounts payable via the 'A/R Transmittal' report.
Post an A/R PaymentAn 'A/R Payment' is a payment that was collected, and posted to the client's account, in a system other than VetView - such as the campus accounts receivable department. The payment tendered is deposited into the bank via the external system; therefore, A/R Payments are not captured by the cash register in VetView. The 'A/R Payments' tab simply provides the ability to credit the client's account for the payment. Accounting screen → A/R Payments tabWhen payments are received by the campus accounts receivable department, the client's account in VetView must be updated to reflect the payment. Based on a report sent from the campus accounts receivable department, payments are posted using the 'A/R Payments' tab. These payments reduce the client's A/R balance in VetView, but are not captured by a cash register, and are not included in the register's bank deposit report. Image Added - Select the client.
- Enter the payment amount and transaction number.
- The client's orders with open balances will be listed. Enter the payment amount for each order.
- Click the 'Post Payments' button to complete the transaction.
- Multiple clients, with multiple open balances, can be posted at the same time.
