Once a prescription has been requested by a student or clinician and approved by the prescribing DVM, it is sent over to the Pharmacy's Fill Queue.
The Fill Queue
To access the Fill Queue:
- Log into VetView with the appropriate role (requires the privileges to view and edit the Pharmacy Queue)
- Go to Navigation > Hospital Screens > Pharmacy
Select your pharmacy from the drop down menu at the top of the page. The screen will automatically refresh - it may take a few moments.
The Pharmacy Fill Screen is broken down into sections. At the top is the Fill Queue, which contains the prescriptions that have been approved by Prescribing DVMs. Below that are prescriptions pending approval, and below that are prescriptions placed on Hold status.
Additional statuses can be used when sorting this list, such as priority scripts (STAT) or other statuses as set up by the pharmacy. These can also be color coded, to help you pick them out without a manual sort.
To open a prescription and begin the Fill process, click in the binoculars icon ("view" button.) This will open the script.
Click on the "Start Fill" button to begin processing the prescription. Start Fill locks the script. By design, only one user may fill a prescription at a time.
The pharmacy technician handling the fill will enter in the product that matches the drug prescribed, if it's not already indicated on the Billing and Inventory information from the script. (E.g. a compounded drug may be different from what the doctor prescribed after it is prepared.)
The technician can fetch a pre-generated RX# by clicking on "Get RX #" - the preffix and suffix for each pharmacy can be pre-assigned by a system administrator.
The technician can also choose to include specific information regarding the expiration date, manufacturer, and lot number of the prescription. (There are future plans to potentially tie this information in to the Inventory module, or to allow it to be scanned in via bar code.) If there is a drug info sheet available for the selected product, it can be included in the print out as well.
A preview of the script label to be printed on a Zebra printer appears. A preview of the prescription data card associated with the prescription also appears.
Once the technician has filled the script and added in all the additional information, it may be submitted for review to the head pharmacist or other pharmacists with a designated approval role. In-process scripts may be saved and put on Hold for later review.
- If the prescription needs to be altered by the clinician before it can be filled, the technician or pharmacist may Reject the script.
- If for any reason the prescription is no longer needed, the technician or pharmacist can Cancel the script.
- If the script needs to be filled at another pharmacy within your hospital then you can transfer the script internally. (The functionality for the Transfer button is scheduled to be added in version 1.2.) Scripts that need to be filled at external pharmacies should be marked as External to avoid pulling from inventory.
- If there is an issue and the pharmacy cannot fill a script right away, it may be placed on Hold.
- If a technician must stop filling a prescription, they can Save at the bottom, and then click Unreserve to free up the script for another technician to start working.
