How do I add inventory for a product in VetView 3.3?

The Add New Inventory button is available on multiple screens in VetView 3.3, allowing you to add new inventory for existing products wherever you are managing your inventory.

Unit Inventory Privileges

To be able to add or modify inventory for an Hospital Unit (Inventory Area), you must either be: (1) assigned to the Hospital Unit, and granted the elevated 'Inventory' privilege; or, (2) a member of a security role that has been assigned to the Hospital Unit, and granted the elevated 'Inventory' privilege.

How do I add inventory on the Inventory Search screen?

Inventory on the Inventory Search screen is added on the 'Inventory on Hand' tab. 

This tab offers the 'Add Inventory' button as a quick way to add inventory that was acquired outside of a normal purchase order or inventory transfer process - such as from a local retailer.

You do not need to perform a search to add inventory on this tab.

Click on the 'Add Inventory' button to open the 'Add/Modify Inventory' dialog.

Select the Product for which you want to add inventory, and its Inventory Location.

To be able to add or modify inventory for an Hospital Unit (Inventory Area), you must either be: (1) assigned to the Hospital Unit, and granted the elevated 'Inventory' privilege; or, (2) a member of a security role that has been assigned to the Hospital Unit, and granted the elevated 'Inventory' privilege.

Fill in the rest of the details, and click the 'Save' button to add the inventory item to the system.  Although the fields are not always required, the more information you can add about the inventory, the better you will be able to manage the inventory in the future.

Click on the Save button to add the inventory to the selected location.

The Inventory On Hand tab will reload with the product you added, and display the product in all the known locations within the hospital.


Right-Click to Add Inventory for a Specific Product

If you don't know the product number, you can search for it using a key word in the product name, synonym, or alternate ID, via the Inventory on Hand tab.

Select the product from the drop down list.

In the Search Results, right-click on the desired product (if using a touch screen device, click on the Menu button at the right-hand end of the product row), and select Add Inventory Item.

This will bring up the Add/Modify Inventory dialog (shown above). 

How do I add inventory on the Inventory Management screen?

Like the Inventory Search screen, the Inventory Management screen has a quick Add Product button at the top of the screen that allows you to add inventory outside of the normal purchase order or inventory transfer process.

You can also search for all items in an Inventory Area and Location, and then add inventory using the right-click options / menu button as described above for the Inventory Search screen.

How do I delete an item from Inventory?

If an item is no longer stored in that inventory location, click on the Delete Inventory Item menu option to remove it.

Note that this does not remove the product from the system.  It only removes the item listing from the selected Inventory Area and Location.

How do I add inventory on the Inventory Count by Area screen?

During the course of an Inventory Count, you may find products that are in the inventory location but are not listed in the system,

You can add the items during the Inventory Count to ensure that the final count is as accurate as possible.

Add additional inventory by right-clicking an item in the list, or add a new product by clicking on the Add Product button at the top of the screen. 

How do I add inventory via a Purchase Order?

As purchase order items arrive, you can add the inventory to VetView by searching for the purchase order via the Purchase Order Search screen.  Select the desired purchase order, then click on the Go To Inventory Receiving button.  

From here, you can verify that the Quantity ordered matches the Quantity received, and under the Inventory Breakdown section, allocate where the inventory will be located.  If inventory is received with a variety of Inventory Locations, Lot Numbers, Serial Numbers, S:St Ratios, Order Unit Costs, Manufacturer, or Expiration Dates, they can be specified accordingly using multiple rows in the Inventory Breakdown section.

Click on the Post button to add the inventory to the selected locations.

You will be prompted to confirm that you want to add the inventory to the specified locations.

Partial Shipment

If a PO has multiple shipments, and only some of the items have been received, you can leave the remaining items with a 0 received and 0 cancelled quantity until they arrive. 



How do I add inventory via the Product Setup screen?

Use the Inventory on Hand subtab to add inventory for a product outside of the normal Purchase Order or Inventory Transfer process

If you have received a new item and you are creating the product information for it via the Product Info screen, you can add inventory via the Inventory tab.

Click on the Add Inventory button to open the Add/Modify Inventory dialog.  The product will pre-populated.

Before adding inventory, be sure to specify the default Product Cost, Sales Unit, Stock Unit, Order Unit, Sales-to-Stock (S:St) Ratio, and Stock-to-Order (St:O) Ratio via the 'Inventory Costs and Defaults' section on the 'Product Details' tab.

How do I add inventory via the Inventory Transfer Request screen?

Use the 'Inventory Transfer Request' screen to request inventory from another Inventory Area.

Currently, inventory that is requested via the Inventory Transfer process, is automatically received into the Destination Inventory Location as soon as the Source Inventory Area fulfills the request.  In order for this to occur, the Destination Inventory Area must be configured to 'Auto-Receive Inventory' (via the 'Hospital Setup' screen → 'Unit Setup' tab → 'Unit Details' subtab.  The Destination Inventory Location is specified via the Inventory Transfer Request.
