Overview

  1. The definition of Inventory Locations is now based on a hierarchical structure.
  2. A Quantity of Inventory can now exist in multiple Inventory Locations.
  3. Inventory can be moved among Inventory Locations, within the Inventory Area, with varying Quantities
  4. Reconciliation & Adjustment of Inventory will now happen at the Inventory Location level.
  5. Adjustments to Inventory Quantities will now require an Adjustment Code and Reason.
  6. It is now possible to 'Auto-Receive Inventory' at the Hospital, Inventory Area, and Inventory Location level.
    1. Inventory Areas can be configured to inherit this property from its parent Inventory Area, or the Hospital.
    2. Inventory Locations can be configured to inherit this property from its parent Inventory Location, or its parent Inventory Area.

Functionality

 Inventory Location setup...
  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Unit Setup' tab.
    1. Select the Hospital Unit.
  3. Navigate to the 'Unit Details' subtab.

    1. Insure that the 'Inventory Area' checkbox is selected.
      1. This options designates the Hospital Unit as an Inventory Area which provides additional functionality to that Hospital Unit - such as Inventory Locations in which Inventory is stored, used, transferred, shipped, and received.
    2. Configure the other Inventory Transfer and Purchase Order Defaults.

  4. Navigate to the 'Inventory Locations' subtab.

    1. Using the 'Location Levels' section, create a model of the storage spaces within the Inventory Area.
      1. For more details, refer to the 'Hospital Setup' screen - 'Unit Setup' tab - 'Inventory Locations' subtab Mockup Wiki page.
    2. Using the 'Inventory Locations' section, begin to lay out the physical Inventory Locations within the Inventory Area, using the Location Level model.
    3. Add Products to the Inventory Location.
      1. This step is not necessary.  When Inventory is received, the Inventory Location is selected, which also creates the Default Inventory Location for the Product.

 Link Products to Inventory Locations...

Linking Products and Inventory Locations does not actually add Inventory, it just creates a link between the Product and Inventory Location.  This provides a Default Inventory Location for the Product.

This step is not necessary.  When Inventory is Received, the Inventory Location is selected, which also creates the Default Inventory Location for the Product.

  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Unit Setup' tab.
    1. Select the Hospital Unit.
  3. Navigate to the 'Inventory Locations' subtab.

  4. Navigate to the 'List by Location' subtab.
    1. Select an Inventory Location.
  5. Select Products from the 'Products' section.
    1. Use the Product Search at the top of the section to locate individual Products, or Products within a Product Line.
    2. Select Products by checking the checkbox for each of the desired Products
    3. Click the 'Add Selected Products' button.

 Unlink Products from Inventory Locations...

Unlinking Products and Inventory Locations does not remove the Inventory, it just breaks the link between the Product and Inventory Location.  This removes the Default Inventory Location from the Product.

  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Unit Setup' tab.
    1. Select the Hospital Unit.
  3. Navigate to the 'Inventory Locations' subtab.

  4. Navigate to the 'List by Location' subtab.
    1. Select an Inventory Location.
    2. Select Products to be removed.
    3. Click the 'Remove Selected Products' button.

 Edit the Inventory Locations for a Product...

Linking Products and Inventory Locations does not actually add Inventory, it just creates a link between the Product and Inventory Location.  This provides a Default Inventory Location for the Product.  Therefore, editing the Inventory Location for a Product does not change the location of the Inventory.

  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Unit Setup' tab.
    1. Select the Hospital Unit.
  3. Navigate to the 'Inventory Locations' subtab.

  4. Navigate to the 'List by Product' subtab.
    1. Select an Product.
    2. Using the dropdown list below the Product, select the desired Inventory Location.

 Reconciling Inventory at the Inventory Location level...
  1. Navigate to the 'Inventory Reconciliation & Adjustment' screen via the 'Navigation Menu'.
  2. Search for Inventory using the search options at the top of the screen - including Inventory Area, Inventory Location, and Product.
  3. In the search results, make changes to any of the editable values.
  4. When the 'Post' or 'Save' button is clicked, provide the Inventory Adjustment Code and Reason associated with each line of Inventory that was edited.
  5. To view Inventory Adjustments that have been posted to an Inventory row, hover the cursor over the info dot in the 'Adj' column.



 Moving Inventory within an Inventory Area...
  1. Navigate to the 'Product Setup' screen via the 'Navigation Menu'.
    1. Search for and select the Product.
    2. The 'Product Info' screen will appear for the selected Product.
  2. On the 'Product Info' screen, navigate to the 'Inventory' tab.
  3. Navigate to the 'Inventory' subtab.
  4. Using the checkboxes on the:
    1.  'Location View' subtab...
      1. Select the Inventory Location from which to move all Inventory, or select the individual Inventory to be moved.
      2. Click the 'Move Selected' button.

    2.  'Inventory View' subtab...
      1. Select the individual Inventory to be moved, or select the Inventory Location from which to move all Inventory.
      2. Click the 'Move Selected' button.

  5. In the 'Move Inventory' dialog

    1. Provide the 'New Inventory Location', Inventory 'Adjustment Code', 'Adjustment Reason', and the 'Quantity to Move' from each of the 'Current Inventory Locations'.
      1. The 'Quantity to Move' can not exceed the 'Available Quantity' in the 'Current Inventory Location'.  The default is the full Available Quantity for the Current Inventory Location.
      2. The 'Units' field indicates that the 'Quantity to Move' is in Sales Units or Stock Units.  The default is 'Sales Units'.

 Auto Receive Inventory option setup...

This option can be set for the Hospital, Inventory Area, and Inventory Location.

Refer to the definition for 'Auto Receive Inventory'.

 Hospital Setup...
  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Inventory Setup' tab.
  3. Navigate to the 'Hospital Defaults' subtab.
  4. In the 'Inventory Transfer Defaults' section, set 'Auto-Receive Inventory' (refer to the definition for 'Auto Receive Inventory'):
    1. 'Yes'
    2. 'No'

 Inventory Area Setup...

In order for this option to be effective, the Hospital Unit must be designated as an Inventory Area.

This option, for the Inventory Area, can be configured using either of the following screens:

 'Hospital Setup' screen - 'Unit Setup' tab - 'Unit Details' subtab...
  1. Navigate to the 'Hospital Setup' screen via the 'Navigation Menu'.
    1. Select the Hospital.
  2. Navigate to the 'Unit Setup' tab.
  3. Navigate to the 'Unit Details' subtab.
  4. In the 'Inventory Transfer & Purchase Order Defaults' section:
    1. Check the 'Inventory Area' option in order to designate the Hospital Unit as an Inventory Area.
    2. Set the 'Area Auto Receive Inventory' option (refer to the definition for 'Auto Receive Inventory'):
      1. 'Yes'
      2. 'No'
      3. 'Inherit from Hospital'
      4. 'Inherit from Parent Area'

    1. Select the 'Hospital Unit'.

    1. Right-click and select the 'Auto-Receive' menu option; or,
    2. Click the 'Edit' Button; then,
    3. Select an option (refer to the definition for 'Auto Receive Inventory'):
      1. 'Yes'
      2. 'No'
      3. 'Inherit from Parent Area'
      4. 'Inherit from Parent Location'
