File Upload Job

Description: This job will check the specified folder paths and using name matching will automatically attach the file(s) to the corresponding VetView record. The folder paths defined in this job also supports the Document Attachment screen.

(In earlier versions of VetView, this was called the Batch File Uploader.)

Preparation

This feature requires that both the administrator performing the setup and the end users who will be handling the files have access to root folders either on the network via connected drives, a NAS or SAN, or on the server directly via RDP.

Ensure that the folders you create for each type of upload are accessible to those users. 

Job Settings

The execution time should allow for the system to check for and process the uploads as they appear.  For most networks, between 2-3 minutes should be sufficient, but on a slower network you can have this timer be longer.


Additional Settings

Each type of batch upload should have its own separate folder.

Each folder is checked and processed independently.

Types of Uploads

The types of files that can be automatically uploaded as attachments in VetView include:

  • Lab Accessions
  • Lab Clients
  • Hospital Clients
  • Hospital Episodes
  • Hospital Patients
  • Hospital Requests


Multiple folders can be used if more than one user uploads different types of files to the same area of the system.

For example, Lab Accessions may have Outside Test Results stored in one folder by one user, and Histology Gross Images stored in a different folder by a different user.

Both types will upload to Lab Accessions, but the documents may be on different network paths to support the two users who handle them.

Add New Setting

Give the folder a name to accurately describes its purpose.

  • Type is how these files will be attached
  • Active Flag indicates this folder is live and now being checked for potential files
  • Auto Attach means that these files will be attached automatically, and do not need to be manually reviewed first (via the Document Attachment screen)
  • Path is the network location of the folder where they will be stored before attaching
  • Failure email is the user to notify if the automatic process to upload is not working 
  • Description is the note that will be included with the attached file in VetView
  • Archive determines if you want to keep the original in the local folder, or delete it after it has successfully uploaded to VetView
  • View Portal controls whether files of this type should be available on the Lab or Hospital portal, to end users
  • Attach Report indicates that this file should be attached to the report for this file type in the system (e.g. an Accession Report from an external lab machine can replace the internal VetView report)
  • Delete Report indicates that the original VetView report of the same type should be deleted
  • Doc Category tells VetView which lower level category to sort this upload, if any.

Edit Existing Setting

Existing folders can be tweaked without having to be removed and re-added.

Delete Setting

If a folder will no longer be used at all, it can be deleted entirely.

File Upload History

The uploaded process can be reviewed.  In this example, several of the files have failed, but at least one succeeded. 

If a file does not have the necessary information for the upload process to complete (e.g. a file name includes an accession number or patient ID) then the automatic process will not work.
