How to use the Pharmacy Administrative Search (VetView 2.0.5)

The Pharmacy Administrative Search screen was added as part of the 2.0.5 update that includes Medication Administration Records on episodes.

This screen is for supervisors and pharmacists to locate prescriptions that have been issued, but for which the MARs are incomplete.  

Students and clinicians can also find these records on their Home screen with the My Incomplete Medication Administration Records widget.  They are also visible on the Patient List, as an incomplete MAR is considered a deficiency.

This screen is also for Pharmacists to be able to locate and trace drugs that were prescribed by clinicians, and when printed should satisfy DEA requirements for the list of all drugs prescribed within a certain period of time.  (To comply with your state's specific DEA requirements for formatting, we strongly suggest creating a custom local report in Jasper Studio and linking it to this screen.)

Pharmacists and supervisors also have the option to complete the MAR themselves on this screen, in the event that the student or staff member is not able to complete a record in time for a deadline or is unavailable.  Pharmacists also have the rights to Edit a completed MAR, if there was a mistake reported by the student or staff member who completed it.

Search Options

At the top of the screen are the options available to search for prescriptions.


  • Status: All, New, Incomplete, and Complete.  New includes prescriptions that have been Requested or Approved, but not yet Issued, and so cannot be completed.
  • RX#: The prescription number.  For products that have multiple refills, entering only the prefix and central sections will load all prescriptions in the refill chain.
  • Pharmacy
  • Patient
  • Species
  • Contact
  • Drug Name:  Includes the ability to search by a specific line, or by a keyword in the drug name 
  • Drug Class
  • Date Type: Date Created vs Date Wasted
  • Date Ranges
  • Approved By:  The user in the system who Approved the prescription
  • Administrator:  The user in the system who is indicated as having administered or otherwise used the drug
  • Witness:  The user in the system who is indicated as having witnessed a Waste

Search Results

The results will appear in the bottom of the screen in a list, with check boxes.

Incomplete records can be completed by checking the box and clicking on Edit.  Completed records can be corrected in the same way.

Print Dispensation Record List

The print button on this screen will load all the search results into a form that can be printed.  The base report included in VetView contains the minimum information we assume is required, but you can also create a custom local report that contains any other requirements that are required by your state law and DEA (such as header information, name of the person running the report, etc.)

MAR Automatic Emailer Job

In Version 2.2.3.2 and in Version 3.1 of Vetview, an automatic email job has been added to notify users of overdue medication administration records.
