MAR Automatic Emailer Job (VetView 2.2.3 and 3.1)
The MAR Automatic Emailer Job will send out an email summary of any overdue Medication Administration Records to the users to whom the medication was dispensed.
To comply with the DEA law in some states, these MARs must be filled out within three days of dispensation.
When active, this job will also display a pop up warning to any users who have outstanding MARs that need to be resolved beyond the specified time limit.
Job Settings
The MAR Automatic Emailer uses the standard execution settings for a VetView Job. The Active Flag indicates that the service is available to start. Auto Start means that the job will begin running on its own after a server reboot.
The Server to Run this Job On selects a server from all of those connected to the VetView database. VetView strongly recommends that you have a server dedicated to running API jobs, separate from those used by your end users in production to avoid any conflicts or lag on the production systems.
The job will run once a day at the specified hour.
Additional Settings
The MAR Automatic Emailer allows you to set the Notification Settings, to set up the Email Template, and to set a specific message for the Notification Popup.
Notification Settings
- Number of days past dispensation to be included in the email: This setting is the delay of days to include in the email report that will be sent to users who have incomplete MARs. In this example, users will have 48 hours to complete their MARs before the notice will include the MAR in the overdue email list.
- Number of days past dispensation to start showing notification popups: This setting will display a pop up warning to users who have incomplete MARs. In this example, users will receive the pop up when they have any incomplete MAR older that 72 hours. This pop up will follow the user on each screen in VetView until all overdue MARs have been completed.
- Number of days past dispensation to lock user account: For users who have ignored the emails and pop up warnings and are severely out of compliance, this method can be used to force them to contact a supervisor to have the account unlocked. At this point, disciplinary action may need to be considered according to your hospital's policy.
Email Template
This is the email notice that will be mailed to users who have incomplete records. VetView will automatically email it to the user when the job runs, based on the settings you have in this job.
Notification Popup
This is the message that will display to any users who have incomplete records older than the number of days set in the Notification Settings for the popup.
This message will appear when they first log in, and then will follow them from screen to screen in VetView until all the late records have been completed.
Account Locked Email
An email notice can be sent to any user whose account has been locked by this process. Include any instructions regarding who they need to contact to have the account unlocked.
Once the account has been unlocked, the user will have until the next time the automatic email job runs to correct the issues before the account will be locked again.
Send Now
You can manually send a notice to all employees or to a specific user outside of the normal job hours.
Medication Administration Report Email Log
VetView will collect a log of all email messages sent to employees. You can search by the dates they were sent, or view all by clicking n the Filter button.

Double click on a row to see the exact message as it was sent to the user.
In the example below, the user has an outstanding MAR from several months ago that was overlooked. This email reminder will let them know about the issue so that they can go back and correct the MAR based on the patient record.
Click on the Close button when you are finished.
