Changes to the Hospital Portal

Objective: Allow an RDVM to submit a referral or consult using a simple web form and existing owner and patient data, and to attach files.

Add Referral / Consult Tab to Hospital Portal

  • Hospital Portal Referrals/Consults must be enabled for this to display for any users

  • RDVM and Clinic types must have the Referral flag enabled to be able to access the tab

     

Display a list of previously submitted Consults and Referrals

Model this after the submitted Accession screen in Labs Portal.

Users can click on an existing Submission and add attachments, as long as it is still in Referral or Consult status. (These attachments will be uploaded to the Pre-Admission screen.)

Once an episode has been converted to a true PA - New, Scheduled, Pre-Admission, Open status, etc - it should fall off this page and instead be available on the Patients page.

 

Search Filters

Search filters should include:

  • Document (Catalog item) Search

  • Type (referral or consult)

  • Patient Case No

  • Patient Name

  • Main Reason Keyword search

  • Submitted date filter (default to 1 month ago)

Display Results

Include columns for the following

  • View - opens the Referral or Consult

  • Episode ID

  • Submitted Date

  • Unit

  • Type

  • Document / Catalog Item

  • Main Reason

  • Patient Name

  • Owner Name

Import existing Lab Request tab to Hospital Referrals/Consults tab, with modifications appropriate for the Hospital side

 

1. Client Drop Downs

An RDVM or Clinic will be the only users allowed to submit these forms, but as a portal account can be associated with multiple clients, the standard drop down menus will need to be available.

Narrow the selection of RDVMs down to those associated with the Clinic. Clinics can add new RDVMs as needed.

Narrow the selection of Owners down to those associated with the selected RDVM and Clinic (similar to Labs.) RDVMs and Clinics can add New Owners as needed.

2. Patient Drop Down

Narrow the selection down to patients associated with the existing owner.

RDVMs and Clinics can add new patients as needed.

3. Referral or Consult Body

The following information is required to be able to submit a referral or consult on the Portal:

  • Owner

  • Patient

  • A referral or consult selection, using radio buttons to drive the sub menu

  • A sub menu that contains a concatenation of the Unit and the available Document (referral or consult)

  • Main Reason for referral

4. Referral Form (Catalog Item and Digital Document)

The RDVM will need to choose the appropriate form to fill out based on the main reason.

They will then need to fill out the form. This form will appear on the Pre-Admission document tab on the PA screen.

Once all the information has been entered on this tab, the client will have the option to Submit.

The Unit will be automatically selected based on the document chosen (using the setup information on the Referral Setup tab in the main app.)

Attachments

After Submission, the client has the option of adding attachments (similar to labs.) These attachments must appear on the PA screen.

Submission Action: Email

On submit, consuls and referrals for the selected unit and type should automatically fire an email to the email addresses that are in the box.

This is an immediate action, not a chron job.

The email body is fixed and contains the basic information for the PA including a localized text string (for translation into French or customization by the hospital), a link to the PA screen in VetView main app, and the RDVM, Owner, Patient, and Main Reason.

 

  • Localized String Text: subject for consult and for referral

  • Localized String Text: body for consult and for referral

  • Live link to PA in VetView main app

  • Localized phrases for Clinic, RDVM, Owner, and Patient, and Main Reason (with appropriate placeholder data)

RDVMs can modify the submission and add attachments after it is submitted, but the email itself will only fire off once.
