 Objective

Give a place for Central Services Inventory staff to create and package up surgery kits that contain a mixture of consumable items and reusable items.

This screen will take the current Multi-Item concept that is a tab on the product link, and expand on it to allow for the multi-items to be tracked across their life cycle, with a check list and a return process for the re-useable items. These combination multi-items will be tentatively called kits.

Assumptions

  • More than one client will want this feature (already known that Minnesota and UGA are interested)

  • Kits will not completely replace the current multi-item system, but expand on it. (All kits will be multi-items, but not all multi-items will be kits)

  • Inventory staff will not necessarily have access to product setup to even see the multi-item tab to begin with for each product, so kits will need to be independent of the product setup screen

  • A separate privilege set may be required for the central services screens

Workflow / Main User Stories

As a central services inventory staff member, my job is to build surgical kits for the rest of the hospital staff. Each kit is a combination of other inventory items, like a multi-item, but some items can be sterilized and re-used again. I would like the ability to check out the reusable items via a barcode scanner, add them into the system as being part of the kit, and then check them back in when the kit is returned to be sterilized. When I am building the kit, I would also like to be able to scan the consumeable items from inventory and have them immediately be considered used from my stock, since once the kit is open, they are no longer considered sterile.

For each kit, I want to have a pre-built “recipe” card, but I also need the ability to hot swap items when I’m out of stock of one product, and there is an available equivalent I can use. This applies to both the consumable and reusable items.

From Melanie at UGA:

Burgess came to me with a request for tracking bigger equipment, like cast saws and power floats in VetView. Cathy mentioned that a central supply module was coming and I think this request can fit in with that module.

She would like to be able to track (barcode scanning) when items are checked in or out of Central and where they are. I think a comments field like MR tracking could be helpful because she mentioned noting when an item has been sent out for maintenance and to where. She would like the ability to see a snapshot of how many of a particular item we have on hand versus how many of that item are potentially out for repair.

For single use items that could possibly be used more than once, Burgess would like to be able to see # times the item has been used and # uses remaining before it must be sent for maintenance.

The goal is to centralize where this equipment is housed and better track maintenance schedules. Burgess would like to see this in VetView as opposed to using additional software.

Notes

  1. Multi Item Report with a print button that displays in the info dot mouseover for multi-item products

As a central services staff member, I would like to have a report that prints out my multi-item recipe list.

HIGH

LIMS-12886

We can deliver this report before the rest of the screens

 2. Database changes - Multi-item product link needs each item to have its own Reuseable YN flag

As a CSSM, I need to be able to tag individual items in my multi-items as reusable or consumable.

 HIGH

  1. Database Change - New tables/links/columns to support the check-in concept for reusable items

As a CSSM, I need to be able to check out sanitized instruments for my surgical kits, link them to the kit with a new expiration date, and then check them back in once they are returned.

HIGH

The linking table for a kit will contain the expiration date and product swaps

  1. New screen for searching for surgical kits and monitoring their status

HIGH

Model this on the Inventory Count screen, per Jeff

  1. New screen for building a kit based on a recipe, and giving it attributes. Must be able to hot swap items in the recipe when things are out of stock.

HIGH

The Multi-Item tab itself will remain the place for product setup attributes

  1. New pop up window for permanently modifying a “recipe” for a Multi-Item in the CSM, independent of the Product Setup screen, but linked to the Multi-Item tab

Medium

  1. Unique privileges for CSM access

Medium

  1. Barcode scanner support for both the kit and its individual products

High

  1. Sanitization attributes on the individual product level

Wish List

Date, time, user, and method of sanitization

  1. Add the ability to search for Product Flags on Product Setup

As a product manager, I’d like the ability to search for products based on the Product Attribute flags: Multi-item, Prescription Setup, Control Drug Machine Setup, and ASAQ Eligible

Medium

Separate from this project, but would be helpful for a lot of things in it
