How do I assign personnel to days and mark them as auto-assign to appointments made on that day?

How do I assign personnel to a day?

To add personnel to a day, right click on the Personnel line at the top of the schedule column and choose  Edit Personnel.  (This line always says No Personnel when no users have been added yet.)

You can add a user for the extent of their known schedule.  For example, if a tech will be on the schedule every day of the week for the month of January, you can add them to every day in the date range at once.  Or if a student will come in three times a week for all of fall semester, you can set them until the winter break begins.  

You will need to enter in the custom Schedule Role that the user will hold, such as Faculty or Tech.  For more information on Schedule Roles, see "How do I set up Custom Schedule Roles?"

Multiple users can be added at once. A new row will appear each time a Role and User have been entered.  If you select the wrong one by mistake, click the X to remove them.

How do I remove personnel from a day?

If a user was scheduled for a day but will be absent just for that one day, you can room them from a single day by click on the red X next to their name on the schedule.

 

How do I remove multiple users at once?

If multiple user's schedules are changing for the long term, and you want to remove them from a recurring period of time, you can use the Clear Schedule feature to remove all personnel from your schedule, and then re-add the users on the correct days going forward.

This feature is accessed by right clicking on the Day section of the schedule header, at the bottom of the schedule management menu.

Select the Date Range you want to clear out, and make sure that only the Personnel flag is checked. This will clear out all users from the schedule at once.

How do I remove one user from multiple days?

If only one user needs to be removed from the schedule, you can Edit Personnel, and choose Remove Personnel.  Enter the name(s) of the users who should be removed, and the date range.

How do I mark a user as auto-add for all appointments on the day?

If a user should automatically be assigned to all appointments on a given schedule, you can turn on the Auto-Assigned Flag when adding them to the Day Personnel.

This flag is the small check box next to the “add me” button beside the user name field.

This feature is especially helpful if you use a single calendar for each clinician or team in your units and service areas.

If the selected user meets the requirements to be the Attending clinician for each episode, they will automatically be promoted to that role if none have been added yet.  Otherwise, they will remain in their designated appointment role and its associated episode role, and the episode role will become permanent upon check-in.

 

Users who were Auto-Added in this manner will appear in a special area on the appointments and on the Pre-Admissions.  At the point of check-in, all personnel (auto-add and manually added) will be merged into the episode personnel.
