Inventory Transfer screen

Overview

  • Provides the ability to view Inventory Transfer Requests, fulfill inventory Transfer Requests by Ordering, Backordering, and Cancelling Inventory Transfer Requested Items; and, adjust Inventory Transfer Shipments that were received with 'Excess', 'Returned' or 'Missing' inventory.
  • The second step in the Inventory Transfer Process, is the Shipment, which is facilitated by this screen.
  • Inventory Transfer Request Items are searched using a variety of information associated with the Inventory Transfer Request, Inventory Transfer Shipment, and Inventory Transfer Request Item.
  • Inventory Transfer Request Items can be shipped using this screen, or the 'Inventory Transfer' form.
  • For reference, when a group of Inventory Transfer Request Items is shipped, a 'Shipment Number' is generated.
  • This screen cannot be used to adjust inventory that was Shipped and 'Returned', or 'Missing'; and, 'Excess' inventory that was Received but not Shipped.  The 'Inventory Transfer' form must be used to make adjustments.

Inventory Transfer form

  • Provides the ability to:

    • View Inventory Transfer Requests,

    • Fulfill Inventory Transfer Request Items by 'Shipping', 'Backordering', and 'Cancelling' them; and,

    • Adjust shipped Inventory Transfer Request Items that were received with 'Returned', 'Missing', or 'Excess' quantities.

  • Features of the Inventory Transfer form:

    • The second step in the Inventory Transfer Process, is the Shipment, which is facilitated by this form.
    • This form is accessed from the 'Inventory Transfer' screen, after a set of Inventory Transfer Request Items are searched.
    • Inventory Transfer Request Items can be fulfilled using this form, or the 'Inventory Transfer' screen.
    • For reference, when a set of Inventory Transfer Request Items is shipped, a 'Shipment Number' is generated.
    • This form is also used to adjust Inventory Transfer Request Items that were shipped and 'Returned', or 'Missing'; and, 'Excess' inventory that was received but not shipped.

Shopping List report

  • Provides the ability to view and print a list of Inventory Transfer Request Items that have been ordered on Inventory Transfer Requests matching the search criteria provided on the 'Inventory Transfer Request Search' screen.  Only Inventory Transfer Request Items that have been 'Saved' - not 'Posted', will be displayed.
  • Features of the Shopping List report:
    • Displays the list of Inventory Transfer Request Items that were ordered for each unique combination of Source and Destination Inventory Area.
    • Items are sorted by Product Number so that the report can be used to pull inventory from storage. 
      • Source and Destination Inventory Areas
      • VetView Product Number and Name
      • Vendor's Catalog Number and Name
      • Request Number
      • Sales and Stock Units
      • S:St Ratio
      • Quantities in Stock Units:
        • On Hand
        • Ship
    • Provides a place to write in the:
      • Quantity Pulled
      • Quantity Remaining

Fields and Controls

The following table lists all of the fields and controls found on this screen.  The fields and controls are grouped by their location on the screen; for example, buttons on a 'section' or columns in a 'data grid'.  Use the controls at the top of the table to change the sort, grouping, and row height.  To see more of the cell content,  click on the cell expansion control located at the top-right corner of a selected cell.

Privileges

The following table lists the privileges associated with this screen.  The privileges are grouped by the application (Labs, Hospital, or Both), and Section within the list of privileges to which they belong.  Use the controls at the top of the table to change the sort, grouping, and row height.  To see more of the cell content,  click on the cell expansion control located at the top-right corner of a selected cell.

Fulfill an Inventory Transfer Request

  1. Navigate to the 'Inventory Transfer' screen.

    From here, you will be able to search for Request Items to be transferred, print the 'Shopping List' report, transfer and adjust request items.

  2. Search for requests or request items to be transferred.

    Only request items with a status of 'Requested', 'Backordered', and 'Missing' can be Transferred.

    Refer to the 'Fields and Controls' section for detailed information about the search criteria fields and controls.

  3. Select the 'Date Shipped'.

    The 'Date Shipped' will default to the current date, but it can be modified.  This date will be applied to all request items shipped when the 'Ship' button is clicked.

  4. Enter the quantity 'Transferred' and 'Cancelled' for the inventory to be transferred for the request item.

    1. Expand the Inventory List section for the Request Item.
    2. Enter the Cancelled '(C)' quantity for each Inventory Item.
    3. Enter the Transferred '(T)' quantity for the Request Item.  This will be calculated automatically by VetView using the inventory that will expire first, then the inventory that has been on the shelf the longest.
    4. As you update the Inventory Item quantities, the quantities for the Request Item will be updated.
    5. The Backordered '(B)' quantity will be calculated as follows:
      1. If the sum of the Transferred and Cancelled quantities is less than the Requested quantity, the remaining quantity will be considered to be Backordered.

    1. Examine the Requested '(Q)' quantity for the Request Item.
    2. Note the value in the 'Request Units' column.  This indicates the units that were requested - Sales or Stock, and the S:St ratio.
    3. VetView will auto-populate the Transferred '(T)' column using inventory that will expire first, or inventory that has been on the shelf the longest.
      • If need be, inventory from multiple Inventory Locations, and with different attributes, can be selected.
      • If the desired quantity has not been calculated, enter the quantity of the Inventory Item to be Transferred in the '(T)' column - based on the Requested Units.
      • If the 'Hide from Transfer' option has been selected for an Inventory Location, the inventory held in that location will not appear as an option in the Inventory List.  (Refer to the 'Hospital Setup' screen → 'Unit Setup' tab → 'Inventory Locations' subtab).
  5. Enter 'Comments' for the inventory and request item.

  6. Click the 'Save' button to save the changes without posting.

    This will only save the changes to the inventory quantities.  The inventory quantities must be posted, which will not happen until the 'Ship' button is clicked.

  7. Click the 'Ship' button to post the changes to inventory.

    When the 'Ship' button is clicked, the status of the Inventory Transfer Request and Request Items will be updated.

Setup Requirements

The 'Inventory Transfer Receiving' functionality is not currently available; therefor, each Hospital Unit that is designated as an Inventory Area, must also be set to 'Auto Receive Inventory'.  The Inventory Area must also be assigned a 'Default Inventory Location'.  These settings are found on the 'Hospital Setup' screen -> 'Unit Setup' tab -> 'Unit Details', and 'Inventory Locations' subtabs.

Print Local Reports

  1. Navigate to the 'Inventory Transfer' screen.
  2. Search for inventory that should be on the report.
  3. Enter other optional search criteria.

  4. Click the 'Reports' drop-down menu, and select the desired report.
