Appointment Search Screen

The Appointment Search Screen is a tool intended for client coordinators and other personnel in charge of managing the schedules for a service area or unit.  This screen allows you to search for appointments based on various criteria, print out the list in report format, and perform a bulk action such as sending appointment reminders or rescheduling multiple appointments at once.

This screen can be accessed from the Schedule Screen, but also can be accessed as a stand alone screen from the Navigation menu.

Appointment Search

The top section of this screen allow you to search for appointments based on entered parameters.  Results will display below in the Appointment Search Results window.

Press the Search button to find the appointments matching the selected information.  If you commonly search only for appointments for a specific unit or specific statuses, you can click on Set Default Search to have those parameters load on this page automatically.

FieldDescription
PA#Search for appointments based on the pre-admission/episode number.  Each PA may be associated with multiple appointments, and all will display independently on the appointment search results.
Animal IDSearch for all appointments based on the patient's name.  May be used in conjunction with other search criteria, such as a client's last name, to help narrow results.
NicknameSearch for all appointments based on the patient's nickname.
Case NoSearch for all appointments based on the patient's case number.
DeceasedSearch for all appointments for patients who have been marked as deceased.  This feature allows you to identify these future appointments and cancel them on the schedule, freeing up appointments that were not already cancelled by other means.
ReasonSearch for all appointments that have a specific keyword in the main reason on their PA.  This feature can be useful for research studies that are trying to identify target patients, to contact the patient owners prior to the upcoming appointments.
ClientSearch for all appointments for patients under a specific client's name.
EmployeeSearch for all appointments to which a specific employee has been assigned.  If there has been a schedule change, this allows you to reassign new staff to these appointments on the fly.
UnitSearch for all appointments for a specific unit.  Use this tool alongside the date range to print out the appointments for the current day, week, or month.
Appointment TypeSearch for all appointments for a specific appointment type.
Field ServiceSearch for appointments based on field service status.  Set this flat to "No" to exclude Field Service type appointments, or to "Yes" to display only Field Service appointments.  
Episode StatusSearch for appointments based on episode status.  If there are upcoming appointments scheduled against an episode that has since been closed, you may want to reschedule those appointments on a new PA.
Appointment StatusSearch for appointments based on the appointment status.  By default, this will include Pending and Scheduled appointments. 
Task TypeSearch for appointments by the built in Appointment Task Types.  This includes Drops offs, scheduled Pick ups, Waiting List, Needs Appointment, and regular Appointments on the schedule.   
Inside Time Slot, Orphaned, Manually Added, Any

This radio button selection allows you to search for appointments based on how they were added to the schedule.  For most users, the appointment must be added inside a time slot.   If a time slot has been deleted out from underneath an appointment due to a schedule change, it will be considered Orphaned.  If an appointment is manually added outside of a time slot by a user with the Freeform Schedule Appointment privilege, it will be flagged as such and can be searched based on that criteria. 

This screen defaults to "Any" and will search for appointments regardless of how they were added to the schedule unless a different option is chosen. 

Appointment Search Results

The results from search appear in list format in this section.

Use CTRL+Click to open the appointment, pre-admission, patient record, or owner's client screen in another tab. 

Select Appointments and Select All

Click on the box next to a row to select a specific appointment.  Click on the Select All button to select all appointments visible on the screen.

Max Select is 10

Select All only selects all the appointments currently displayed.  For search results that span multiple pages, Select All will not select all the appointments.  It will only select the top 10 visible on the first page of paginated results.

Once Select All is pressed, the button will transform to Deselect All if you want to undo the action.

Reschedule Selected Appointments

To Reschedule Selected Appointments, choose the appointments you need to reschedule and then click on the button.

All the appointments selected will load together on the Schedule screen in the working appointments select.  Click on an appointment to expand its details, then drag and drop it onto the appropriate unit's schedule to begin the Reschedule process.  You may have a confirmation window that asks if you want to keep and save the existing appointment, or reschedule and remove the old one.

Send Reminders for Selected Appointments

This will manually send reminders for upcoming appointments for services areas or units that do not have automatic emails turned on at the Schedule level.  (The email to be sent out must still be set up under the Schedules tab in Unit Setup.)

Print List

This button will create a PDF of all the appointments that match the search criteria, not just the selected ones.    This PDF can then be printed out for use by clinical staff, the front desk, or others who may not need or have access to the real time VetView schedule.

Do not select Print List without first narrowing down your search criteria.  Because it prints all matches, not just the selected appointments, clicking this button without narrowing the search first may attempt to print all the appointments in your system!  If this happens, please reload the page to start over.
