Specimen Batch Search Screen

This screen allows you to search for batches that were generated using the VetView Quick Accession App or other custom applications that use the API calls to create batches for specimen tracking.

You can also manually create a batch on this screen as of VetView 4.1.1.

A Batch in VetView is a temporary grouping of specimens allowing for mass movement from one location to another. The batch has a designated location, but each individual specimen will still have its location and dates tracked individually as well. This allows for the creation and deletion of batches without impacting the tracking of the specimen itself.

More About Batches in 4.1: The intent behind a batch is to allow for date tracking and long term storage of specimens that must be kept for a period of time after testing is complete to comply with requirements from state and federal agencies. For example, a batch of serum for PCR testing is checked in, tested in a group on a standard 96 well plate, and then kept for 30 days. The batch itself will move from Accession Receiving, to active PCR Testing, to the Serology refrigerator. Any individual specimen that is removed for additional testing will be removed from the batch. The remaining specimens can be destroyed after 30 days, and the batch can be safely deleted.

Search Existing Batches

Batches can be searched by their numbers, locations, the user who created them, or the dates they were moved or created.

You can also combine these options for a more narrow search.

Batch No

Search for a specific batch by its number. The numbers are automatically generated at batch creation, whether on this screen or in the Quick App.

Location

Search for a specific batch by its location. Multiple batches can be stored in any given location.

Created By

Search for a specific batch by the user name who created it.

Location Date

Search for batches based on when they were in a specific location during those dates. This can be useful for trying to track down when a batch was moved.

Date Created

Search for batches based on the date they were created, either on this screen or within the Quick App.

 

Batch Result List

After clicking on the Search button, a list of results will appear in the Batch Results List panel.

You can go to the details of an individual batch by clicking on the Batch Number in the first column.

Print Batch List Button

The Print button on the batch results list will open a simple report of all the batches on the list. The barcode on this report represents the batch number. This list can be used in conjunction with a barcode scanner to verify which batch matches the barcode printed out on the Quick App batch creation process, or by the batch screen Create New batch feature.

Create new Batch Button

Clicking on this button will open a small dialog box to start the new batch creation process.

You will need to select a starting location for the new batch before you can load the full Batch screen.

Open Existing Batch by Clicking the Link

Click on the batch number to open an existing batch.

You can also double click on the row to open it as well.

Both Create New Batch and the existing Batch links will load the Batch Details screen.

At the top of this screen is information about the batch, including the dates it was created or last moved to the current location.

There is also a field to scan new specimens to add them to the batch. This is also how you can move specimens from one batch to another.

Specimens in Batch List

Each batch has a list of member specimens. The specimens will include a link to the accession they are associated with.

Specimens can be safely removed from a batch at any time by clicking on the X next to their name.

Print Batch Report

Opens the PDF viewer with the printed version of the Batch Report. This report mirrors the list of specimens that appear on this screen, but with their barcodes.

Delete Batch

Batches are ephemeral. They can be safely deleted without impacting the underlying specimens ore accessions. Batches that were processed should be kept for at least as long as your lab’s SOP for data retention requires, but if a batch was created and no specimens were ever added, it can be safely deleted.

Move Batch Location

This will change the location of the entire batch and all member specimens at once. Use this button to indicate that a batch has been moved from one location to another, such as from Accession Receiving to the performing lab.

Print Specimen Labels

Opens the PDF viewer with a list of all the specimen labels, so they can be printed.

Specimen Batch Report

This report contains the Specimen Batch information on the top row, including the barcode for the batch itself.

It then contains a list of all the specimens in the batch, and their individual barcodes as well.

The barcodes can be used to scan the Specimen numbers into other parts of VetView, such as 96 well plate layouts on the Worksheet screen.

Print Specimen Labels

This button will open each Specimen Label individually, so it can be printed and then applied to the sample one at a time.
