Patient Packages Tab

Patient Packages Tab

If your hospital uses Patient Packages to bundle or pre-sell services and items, then any packages for the patient will appear on this tab.   This allows you to view the packages that were sold, confirm any parts of the package that were used or are still available, and notify the client of those discounts or available services.

Package Tabs

Each package will be sorted onto its own sub tab on this page.   And each package has its own section of further sub tabs for Time of Service (to be spent on the episode when it was added), Prepaid (for later episodes), and Discounts (available at any time even after all time of service and prepaid items were otherwise consumed, up to a dollar limit.)

Expired Packages

Packages have an expiration date, usually one year from the time of purchase.  If a package has expired, then it will not be available to use, even if there are still prepaid services or discounts available.  Expired packages show up with the expiration date in red, and the unallocated funds visible.  Mouse over the info dot to see additional details, such as how the package was expired.  API means the Expire Packages jobs performed the actions, but it is possible to manually cancel packages as well.

This opens the PDF Billing Package report.

Time of Service Subtab

This tab displays all of the items that are sold as part of the package and are intended to be charged at the time the client purchases the package.  For example, a Canine Spay Package may include the surgery itself and all charges associated with performing the surgery, as these charges will be accrued on the same day.   Total quantities available and the package price will display on this tab.  Available items will be grouped into sub categories, such as lab work or the supplies needed during the surgery (if those are broken out.)

The package price will be charged to the client when this item is added to the order, as opposed to the individual price.  As such, this can be used to provide a single line item for complex procedures to reduce the clutter on the bill, but still pull all the associated items out of inventory.

This opens the Billing Packages Report, but only displays the Time of Service items for the selected package.

Prepaid Subtab

This subtab displays all of the items that were pre-paid when the package was purchased.  This can be used for wellness packages, for example including future visits that are paid up front to encourage the owner to bring the patient back, or providing discounts for paying for the original service.

In the example below, a box of ivermectin has been included at a reduced cost as part of the package.  When the client purchases this in the future, a quantity will be consumed off the Prepaid package and from inventory, but they will have their charge on the order reduced to $0 since it was already paid for.

This report displays the Billing Package Report but only includes the items on the prepaid subtab.

Discount Subtab

This subtab displays any other items that the client can receive a discount on, with time limits or maximum discount limits.   For example, if your client purchases a wellness package, you can give them a 10% discount on dog food, with a quantity limit of one bag a month and a maximum quantity of 12.   Or discounts on any future appointments of a specific type within the time frame.
