Appointment Types Tab

The Appointment Types link the episode type (patient record document structure and requirements) to other information that may be more unit specific.  Appointment types can share names across units to keep things similar across your hospital, but will still be separated by unit.  Each Appointment Type becomes available on the Admission screen, and also becomes available on your unit's Schedule screen.  Some of the options, such as Duration or Calendar Color, are only applicable on the schedule screen.

Add New Appointment Type

Click on the Add button to create a new Appointment Type.  The Appointment Type - Episode Type Link window will open.

FieldDescription
Appointment TypeThe name of the appointment type as it will appear throughout the system.
Episode TypeThe Episode Type that will load on the patient record for this appointment type.  Episode Types are defined at a level higher than the units, for the entire hospital, to enforce uniformity of the patient record.  In this example, a Referral appointment will utilize the patient record structure and requirements for an Outpatient episode.
Calendar ColorHow the appointment will appear on the unit's Schedules.  This color applies to the small tab on the left of each appointment slot.  Preset time slots will display this color, even if there are no appointments scheduled in them yet.
Default LocationThe location that will automatically fill in when the patient is checked in.  This may be left blank.
Default DurationWhen an appointment of this type is scheduled outside of a time slot (free form appointment), the duration that will automatically be applied.  This can be left blank, but the user must manually define the time length, so we recommend filling in the most common time duration for the appointment type.  Free form appointments can also be manually changed after they are scheduled.
Active FlagThis appointment type is active and available to schedule.  

Set Appointment Type as Inactive

If you want to temporarily disable an appointment type without losing the settings, this flag can be turned off.  This option may be best for appointment types that are not available for a short period of time, such as summers or holidays.   They may be reactivated at any time in the future.

Double click an appointment type or click on the pencil icon to open the window.  Turn off the Active Flag, and click on the Save button.

Delete Appointment Type 

To permanently remove an appointment type from the system, click on the red X on the right most column.  Historical data will remain preserved, but this appointment type and its settings will be permanently removed and cannot be used in the future.

If there are active open episodes with an Appointment Type, you will be unable to delete it.  You will need to set it as Inactive instead.
